ROLE SUMMARY:
The Facilities Manager is accountable for the safety, function, cleanliness, and operational readiness of all Greaves Corporation facilities. This role owns building systems — HVAC, compressed air, electrical, plumbing, fire/life safety, and general infrastructure — and is accountable for ensuring maintenance is completed, whether performed by internal staff or the outside licensed contractors that support work beyond internal scope. The Facilities Manager leads the facilities team (maintenance technicians, janitorial staff, and support contractors), sets standards for building operations, and negotiates and manages vendor contracts for licensed trades. This is a leadership role that requires strong technical competence, disciplined project and vendor management, and mature people leadership grounded in LMA (Leadership, Management, and Accountability) principles. EDUCATION & LICENSING REQUIREMENTS:
o High school diploma or GED required.
o Associate’s or bachelor’s degree in Facilities Management, Construction Management, Engineering, or a related technical field is preferred.
o Trade certifications in HVAC, electrical, or plumbing are strongly preferred; active journeyman or master licenses are a plus.
o OSHA 30 certification required within 90 days of hire.
o Forklift certification required, or ability to obtain within 30 days.
o Scissor lift and aerial work platform certification required, or ability to obtain within 30 days.
o Valid driver’s license required.
EXPERIENCE REQUIREMENTS:
o Minimum 7–10 years of progressive facilities, building maintenance, or construction experience.
o At least 3–5 years in a management or team lead role with direct responsibility for the performance and development of technicians, janitorial staff, or contractors.
o Demonstrated competence in HVAC systems: rooftop units, split systems, ductless, controls, and refrigeration cycle troubleshooting.
o Demonstrated competence in electrical systems: single- and three-phase distribution, motor controls, lighting, and basic panel work, with clear judgment on when work must be escalated to a licensed electrician.
o Demonstrated competence in compressed air systems, plumbing basics, and general building infrastructure.
o Working knowledge of basic construction methods: framing, drywall, painting, flooring, doors/hardware, and roofing basics.
o Experience negotiating, managing, and holding accountable outside vendors for licensed HVAC, electrical, plumbing, roofing, fire/life safety, and janitorial services.
o Strong project management skills: scoping, quoting, scheduling, budgeting, and executing capital and repair projects.
o Working knowledge of building codes, OSHA workplace safety requirements, and preventative maintenance program development.
o Proficient in Microsoft Office (Excel, Word, Outlook); experience with CMMS (computerized maintenance management system) preferred.
Leadership & People Management (LMA):
- Lead the facilities team through disciplined application of LMA: give clear expectations, keep the right meeting pulse, communicate well, reward and recognize, and hold people accountable to the standards.
- Conduct structured weekly 1:1s with each direct report focused on performance, coaching, development, and blockers; document commitments and follow-up.
- Own the facilities Scorecard: define measurables, review weekly, and drive corrective action when the numbers slip.
- Set and enforce clear standards for work quality, timeliness, safety, and workplace conduct across the team.
- Coach and develop maintenance technicians, janitorial staff, and contract labor toward higher skill levels and greater ownership of scope.
- Manage performance issues promptly and honestly: recognize when work is on track, address it directly when it is not, and document consistently.
- Interview, and onboard new team members and contractors; maintain a cross-training and coverage plan to reduce single points of failure.
Building Systems Maintenance (HVAC, Air, Electrical, Plumbing):
- Maintain preventative and corrective maintenance on HVAC, electrical, compressed air, plumbing, and general building systems within skill and legal scope.
- Troubleshoot system failures and lead recovery, coordinating outside licensed technicians when scope exceeds internal capability or licensing requirements.
- Maintain a documented preventative maintenance schedule for all critical systems; execute or assign PMs and verify completion.
- Track and manage inventory of spare parts, filters, belts, lamps, refrigerant, and consumables needed for building maintenance.
- Maintain up-to-date records of system diagrams, equipment data (make, model, serial, install date, service history), and warranty information.
Vendor & Contract Management:
- Source, evaluate, and negotiate contracts with licensed vendors for HVAC, electrical, plumbing, roofing, fire/life safety inspection, elevator, landscaping, snow removal, and pest control services.
- Establish clear scopes of work, service level expectations, and pricing structures; hold vendors accountable to their commitments.
- Approve or reject vendor invoices against agreed pricing and completed work.
- Maintain current insurance certificates, safety documentation, and code compliance records for every active vendor.
- Regularly benchmark vendor performance and pricing; rebid contracts periodically to ensure Greaves receives fair value.
Janitorial Operations:
- Oversee janitorial staff (internal or contracted) and set daily, weekly, and monthly cleaning standards for all Greaves facilities.
- Build and maintain the cleaning schedule; verify completion and quality through routine walkthroughs.
- Manage supplies, chemicals, and equipment used by janitorial staff, ensuring proper handling, SDS documentation, and inventory levels.
- Address janitorial performance issues directly with staff or with the contracted service provider; document and enforce corrective action.
Facilities Projects & Capital Improvements:
- Scope, quote, schedule, and execute repair and improvement projects: from small in-house fixes to multi-vendor capital projects.
- Develop project budgets and manage spend against them; provide status updates to leadership on active projects.
- Coordinate contractor access, work schedules, and building disruption windows to minimize impact on production.
- Coordinate with Operations, Production Managers, and Engineering to sequence facilities work around production priorities.
- Support building move projects, new equipment installations, and workstation reconfigurations.
Safety, Compliance & Documentation:
- Champion a safety-first culture across all facilities works; enforce compliance with OSHA, EPA, NFPA, and state/local codes.
- Own and maintain the facility safety documentation, hot work permits, fire extinguisher inspection records, and eyewash/emergency shower logs.
- Ensure all facilities team members and contractors follow proper PPE, LOTO, hot work, confined space, and fall protection procedures.
- Lead facility safety inspections and address findings promptly with documented corrective action.
- Support insurance carrier inspections and address findings.
- Ensure fire/life safety systems (sprinklers, alarms, extinguishers, emergency lighting) are inspected and tested on schedule in accordance with NFPA and local requirements.
Equipment Operation & Basic Construction:
- Operate forklifts, scissor lifts, and other aerial work platforms safely to support facilities work.
- Perform limited basic construction work in-house: framing, drywall, painting, flooring, door and hardware installation, and minor structural repairs.
- Identify when construction work requires a licensed contractor and manage the vendor engagement end-to-end.
PERFORMANCE EXPECTATIONS:
- Zero preventable safety incidents across the facilities team.
- Building systems (HVAC, air, electrical, plumbing) operate reliably; unplanned downtime affecting production is minimized and root-caused
- Preventative maintenance completion rate meets or exceeds established targets.
- Facilities Scorecard measurables meet or exceed established weekly targets.
- Facility appearance and cleanliness meet audit-ready standards at all times.
- Vendor spend is managed to budget with documented sourcing decisions and periodic rebidding.
- Facilities projects deliver on time, on budget, and to scope, with clear communication to leadership.
- Team retention, cross-training, and skills development show measurable progress year over year.
- LMA principles are visibly practiced through structured meetings, clear accountability, and consistent coaching.
