SYNERGY HomeCare of Concord is a locally owned and veteran-led non-medical home care agency serving Cabarrus and Rowan counties. We provide compassionate in-home care to older adults, veterans, and individuals with chronic conditions or cognitive challenges, enabling them to remain safely and comfortably at home. Our services include personal care, companionship, dementia support, respite, meal prep, light housekeeping, and transportation coordination. We partner with VA, Medicaid Managed Care plans, Bright Horizons, Long Term Care insurances, and private pay families. SYNERGY HomeCare of Concord is seeking a highly organized and proactive Scheduling Coordinator / Operations Support Specialist to drive daily operations, caregiver coordination, and staffing support within our fast-growing home care agency.
This role goes beyond scheduling and includes front office support, caregiver coordination, recruiting support, and compliance tracking. This position is best suited for someone who thrives in a fast-paced environment, communicates with urgency, and can balance compassion with operational accountability.
This is a hands-on role that requires strong communication, follow-through, and the ability to pivot quickly throughout the day. This is NOT a remote position.
Responsibilities:
- Coordinate and maintain caregiver schedules to ensure all client shifts are filled
- Monitor schedules 4872 hours ahead and proactively address coverage gaps
- Respond to call-offs and urgent staffing needs in real time
- Answer incoming office calls and support clients, families, and caregivers
- Maintain accurate and timely documentation in scheduling and CRM systems
- Track caregiver availability, time off, and scheduling preferences
- Match caregivers to clients based on skills, experience, and care needs
- Support recruiting efforts, including applicant follow-up and interview coordination
- Assist with onboarding and communicate scheduling expectations to new caregivers
- Support compliance tracking, including monitoring expiring documents and missing items
- Communicate scheduling, staffing, and operational updates to the office team
- Maintain confidentiality of all client and employee information
- Participate in a rotational on-call schedule, including evenings and weekends
- Perform additional administrative and operational tasks as needed
Qualifications:
- Strong interpersonal skills with excellent communication and professional phone etiquette
- Proficiency with scheduling systems and office software (CRM and home care software experience strongly preferred)
- Experience in healthcare staffing, home care, medical scheduling, or high-volume service coordination strongly preferred.
- Ability to manage records, calendars, and documentation with a high level of accuracy and timeliness
- Highly organized, detail-oriented, and able to manage multiple priorities effectively
- Ability to multitask and adapt in a fast-paced, high-accountability environment
- Strong problem-solving skills with the ability to make decisions and take initiative
- Reliable, responsive, and able to work independently with minimal supervision
Education:
High School Diploma required. Associates Degree or equivalent experience preferred.
