Position Summary Our client is seeking an Assistant Project Manager - Service to support the successful execution of commercial plumbing, electrical, HVAC, and specialty service projects. This position provides project coordination, technical administration, procurement support, schedule tracking, financial assistance, and customer communication throughout the project lifecycle. The Assistant Project Manager works closely with Project Managers, Operations Managers, field teams, customers, vendors, subcontractors, fabrication teams, detailing personnel, and startup technicians to help ensure projects are completed safely, on schedule, within budget, and in accordance with contract requirements. This is a developmental opportunity for someone pursuing a long-term career in construction project management. The role provides hands-on exposure to all phases of project execution, from project turnover and procurement through construction, billing, and closeout.

Project Coordination
- Follow all company safety policies, procedures, and work practices.
- Support Project Managers with the planning and execution of assigned commercial service projects.
- Coordinate project communication among field teams, customers, vendors, subcontractors, fabrication, detailing, and startup personnel.
- Assist with developing, maintaining, and communicating project schedules and milestones.
- Participate in project meetings and document action items, decisions, and follow-up requirements.
- Monitor project progress and communicate potential schedule, cost, scope, or coordination issues to project leadership.
- Help ensure project teams have the information, materials, equipment, and resources needed to complete their work.
- Maintain accurate and organized project files, records, and documentation.
- Develop and maintain RFI, submittal, purchase order, expediting, and closeout logs.
- Prepare requests for information for Project Manager review.
- Track and distribute RFI responses, design clarifications, and project correspondence.
- Review submittals and shop drawings for alignment with project requirements before Project Manager review.
- Track submittals, approvals, revisions, and outstanding documentation.
- Assist with the preparation of operations and maintenance manuals.
- Support the completion of project closeout packages, warranties, training records, and turnover documents.
- Assist with the procurement of equipment, materials, subcontractors, and outside services.
- Enter, process, and track purchase orders.
- Coordinate equipment releases, fabrication requirements, and material deliveries.
- Monitor lead times and help expedite critical equipment and materials.
- Communicate delivery dates, schedule changes, and potential delays to project teams.
- Support project schedule updates and milestone tracking.
- Coordinate with vendors and field teams to help maintain the flow of labor, materials, and equipment.
- Review construction drawings, specifications, submittals, contracts, and related project documents.
- Assist with identifying scope gaps, document discrepancies, constructability concerns, and coordination conflicts.
- Coordinate equipment approval, submittal, and release processes.
- Support the preparation of sketches, documentation, and technical project information.
- Maintain project records, reports, and performance metrics.
- Escalate technical issues to the appropriate Project Manager, engineer, or operations leader.
- Assist Project Managers with project budget tracking, forecasting, and cost reporting.
- Support the preparation and documentation of change orders.
- Track committed costs, purchase orders, subcontract activity, and material expenses.
- Review vendor invoices, subcontractor billing, and supporting documentation for accuracy.
- Assist with project billing, cost coding, and financial documentation.
- Identify potential cost impacts and communicate them to project leadership.
- Build positive working relationships with customers, vendors, subcontractors, field employees, and internal teammates.
- Provide professional, accurate, and timely communication to project stakeholders.
- Respond to requests and follow up on outstanding project items.
- Demonstrate a positive attitude, accountability, and commitment to teamwork.
- Support Project Managers and Operations Managers with additional duties as assigned.
Education and Training One of the following is preferred:
- Bachelor's degree in Construction Management, Mechanical Engineering, Building Construction, or a related field.
- Associate degree or technical training in construction, engineering, HVAC, plumbing, electrical, or a related discipline.
- Relevant military training or experience.
- Equivalent professional experience in construction, mechanical contracting, building service, or project coordination.
- One to three years of experience in construction, engineering, project coordination, estimating, field supervision, or project administration preferred.
- Construction management internship or cooperative education experience may be considered.
- Experience supporting mechanical, HVAC, plumbing, electrical, building service, or specialty construction projects preferred.
- Experience working with Project Managers, vendors, subcontractors, customers, or field teams is beneficial.
- Basic understanding of construction drawings, specifications, submittals, and contract documents.
- General knowledge of construction processes, materials, equipment, and project workflows.
- Strong organizational, prioritization, and time-management skills.
- Strong written and verbal communication abilities.
- Proficiency with Microsoft Office, particularly Excel and Outlook.
- Ability to learn project management, estimating, scheduling, and construction software.
- Ability to manage multiple assignments and deadlines simultaneously.
- Strong attention to detail and follow-through.
- Effective problem-solving and critical-thinking skills.
- Ability to work collaboratively in a team-oriented environment.
- Professional approach to customer service and project communication.
- Full-time, exempt position.
- Standard schedule is Monday through Friday.
- Occasional evening, weekend, emergency, and overtime work may be required.
- Travel to jobsites, customer facilities, project meetings, and company locations may be necessary.
