Job Description : Onboarding Specialist (non-exempt)

Reports to: VP of Human Resources

The Onboarding Specialist is generally responsible for creating a welcoming and seamless experience for new employees from the moment of the acceptance of an offer through their first week of employment. This role ensures all pre-employment activities are efficiently coordinated and that every new hire feels connected, supported, and prepared to succeed.

Essential Duties & Responsibilities

• Process and manage all necessary new hire paperwork, including tax forms, legal documents, and other compliance requirements

• Create and distribute employee handbooks, welcome kits, and other essential materials for new employees

• Partner with various departments, such as HR, IT, and hiring managers, to ensure a coordinated and seamless onboarding experience

• Serve as the primary point of contact for new hires, answering questions, and providing ongoing support throughout their initial period

• Gather feedback from new hires to continuously improve the onboarding process and measure its effectiveness

• Ensure compliance with all applicable employment laws and company policies

Qualifications

• Excellent interpersonal and communication skills with a strong focus on customer service

• Strong organizational skills are required to manage multiple tasks and a high volume of information simultaneously

• Ability to work effectively with various stakeholders, including new hires, managers, and other departments

• Knowledge of employment laws and compliance requirements related to new hires
