Dental Office Manager

Port Charlotte, FL | Solo-Doctor Fee-for-Service Practice | Full-Time About the Practice We're a well-established, fee-for-service dental practice in Port Charlotte, FL, led by a single doctor who is deeply committed to patient care and a positive team culture. Because we don't participate in insurance networks, our focus is on building lasting patient relationships, delivering high-quality dentistry, and running a smooth, well-organized office. About the Role The Office Manager is the operational backbone of the practice, working directly with the doctor to oversee day-to-day business functions, lead the front office and clinical support team, and ensure an outstanding patient experience from the first phone call to checkout. This is a hands-on leadership role for someone who thrives in a smaller, close-knit office and wants real ownership over how the practice runs. Key Responsibilities Oversee daily practice operations, including scheduling, patient flow, and front desk performance Manage and mentor administrative and clinical support staff; handle hiring, onboarding, and performance conversations Own patient billing and collections for a fee-for-service model (no insurance claims processing required) Monitor practice financials: track production, collections, accounts receivable, and key performance metrics Manage vendor relationships, supply ordering, and equipment service agreements Ensure compliance with OSHA, HIPAA, and Florida dental board regulations Maintain and improve office systems, workflows, and patient communication (recall, confirmations, reviews) Handle patient concerns and escalations with professionalism and discretion Support marketing and community outreach efforts to grow the practice What We're Looking For 3+ years of experience as a dental office manager or in a similar dental practice leadership role Experience with fee-for-service or low-insurance-dependency practices strongly preferred Strong understanding of dental practice financials and KPIs (production, collections, case acceptance, etc.) Proven ability to lead, coach, and retain a small team Excellent communication and interpersonal skills - comfortable with patients, staff, and vendors alike Proficiency with dental practice management software (e.g., Dentrix, Eaglesoft, Open Dental, or similar) High level of organization, discretion, and sound judgment HIPAA and OSHA compliance knowledge A genuine passion for patient experience and team culture What We Offer Competitive salary, commensurate with experience Paid Time Off Benefits: health insurance, dental, vision, STD, and more.
