TRC Sales Coordinator

Sales Coordination & Customer Accounts Coordinate the full order cycle, from quote through delivery, off-rent, and pickup, ensuring sales, dispatch, service, and accounting are aligned on equipment, timing, and job site requirements. Prepare, issue, and manage customer quotes, rental agreements, and sales orders in the rental software system, and follow up on open quotes to drive conversion. Serve as the primary point of contact for assigned customer accounts on order status, schedule changes, billing questions, and service needs, resolving issues or escalating as appropriate. Manage new account setup and credit applications, ensuring COIs, tax exemption certificates, and credit documentation are complete and current before equipment is released. Maintain and audit rate sheets, pricing, and equipment availability information; flag discrepancies and pricing exceptions to the General Manager. Work with dispatch and yard staff to confirm equipment availability and help resolve scheduling conflicts. Review rental contracts and invoices for accuracy before billing, and partner with accounting to resolve billing disputes, credits, and past-due follow-up. Track and report on sales activity, open quotes, and pipeline status; prepare weekly and monthly reports for the sales team and management. Plan and execute marketing and customer engagement activities, including customer events, promotions, mailing campaigns, and trade show logistics. margin-top:0in;> margin-top:0in;>undefined Team Leadership & Process Improvement Train, guide, and serve as a resource for Sales Administrators and other office staff on systems, procedures, and documentation standards. Assign, prioritize, and review administrative work to ensure accuracy and timely completion. Develop and maintain standard operating procedures, templates, and checklists for sales and order processing. Identify gaps or inefficiencies in sales workflows and recommend improvements to the General Manager. Ensure customer files, contracts, and documentation are complete and comply with company policy and audit requirements. Act as point of contact for day-to-day sales office operations in the General Manager’s absence.
