divh2Project Support Specialist/h2pZachry Group is currently looking for a detail-oriented Project Support Specialist to join our Project Support Team and work in our office located in Downers Grove, IL. As a Project Support Specialist Team member, you will be responsible for document control activities, including handling the flow of documentation to and from our clients./ph3Responsibilities/h3ulliProvide routine administrative services to engineering professionals working on a project team, including maintaining electronic documents from clients and suppliers./liliMaintains project record keeping system; ensure that all records management/document practices are performed in accordance with requirements./liliAssists with monitoring, tracking, and reporting on the status of project assignments to ensure time, cost and quality metrics are in line with the approved project plans./liliEstablish, maintain, and enforce document control procedures for engineering and project documents. This includes managing naming conventions, revision control, file types etc./liliReceive, review, log, and distribute incoming and outgoing documentation, including drawings, specifications, RFIs, submittals, transmittals, procedures, reports, and correspondence./liliEnsure documents adhere to company formatting, revision, and quality standards./liliCommunicate with clients, vendors, and engineering teams regarding document requirements and submission schedules./liliWork in multiple EDMS./liliHave a working knowledge of email and be able to manage basic documents using Microsoft Office Suite./liliOperate copy machines and general office equipment./liliAssist with the preparation of client meetings, reserving conference rooms, coordinating refreshments, collecting, and compiling documents, drafting correspondence, etc./liliOther duties as assigned./li/ulh3Qualifications/h3ulliHigh School Diploma / GED/liliMust have 1-3 years of project support, document control or similar experience./liliMust be detail oriented and be able to recognize priority of deliverables for processing./liliStrong technical skills needed in the following: Adobe Acrobat, Microsoft Office Suite (SharePoint, Word, etc.) with intermediate to medium skills in Excel/liliMust possess excellent communication and written skills/liliMust have effective planning and organizational skills with the ability to work with a high degree of accuracy./liliMust have problem solving skills, to strive to understand contributing factors, work to resolve complex situations with appropriate management./liliMust be a self-starter and dependable. Able to meet committed deadlines, work independently, accountable for work, maintains focus, be punctual, and good attendance./liliMust be able to maintain a professional attitude and work as a team member/li/ulpPREFERRED QUALIFICATIONS:/pulliAssociate or Bachelors degree/lili1 - 3 years of document control / project support experience in an engineering office or similar business environment/liliExperience with database entry or other Document Management Systems.
