Events Operations Manager

About The Opportunity The Events Operations Manager is an integral member of the Advancement Operations team and will be the primary point of contact for a portfolio of Advancement‑operated event spaces, including premier on‑campus venues. They will handle reservation requests, approvals, and confirmations for these spaces and provide superior customer service to all clients, colleagues, and potential clients. The manager is responsible for end‑to‑end service to ensure a seamless event experience for hosts and guests, including determining event and meeting needs such as A/V, furniture, and other requirements, maintaining a clean and inviting space, and liaising with Facilities, Chartwells, ITS, and other on‑campus partners to meet all needs in a timely and efficient manner. In addition, the manager serves as the technical lead for these event spaces, overseeing and providing support for audio/visual and other technical services required for events. They recommend technology solutions to event clients, troubleshoot AV systems, partner with outside vendors to keep equipment up to date, and develop training for student staff on AV protocols. The Events Operations Manager hires, trains, schedules, and manages a team of student supervisors and staff who staff events at all Advancement‑operated venues as well as student employees who manage the front desk at 300 Mass Ave. Collaboration with the team to develop and maintain consistent, high‑level operational standards across all areas is vital. The position requires a high level of professionalism and exceptional customer service skills as the manager regularly interacts with VIPs, senior leadership, external clients and guests, and internal partners. Coverage typically requires Monday‑through‑Friday work, with flexibility for evening, holiday, or weekend events due to the mission‑critical nature of the role. Minimum Qualifications Bachelor’s Degree preferred; 2–5 years of experience in an office environment, preferably higher education. 2–3 years of experience in a customer‑service, client‑facing, or office‑management role. Strong organizational, written and oral communication, interpersonal, and Microsoft Office (Word, Excel, PowerPoint, Outlook) skills. Detail‑oriented, proactive, and able to work independently in a fast‑paced environment. Exceptional time‑management, diplomatic interaction with donors, faculty, staff, vendors, and visitors. Positive, helpful attitude; self‑starter with innovative, self‑directed work style. Key Responsibilities & Accountabilities Event Space Management & Venue Operations Provide a high level of customer service to all clients and colleagues. Handle reservation requests, approvals, and confirmations for the Alumni Center, EXP, and 300 Mass Ave event spaces (over 500 events annually). Work with clients to determine event and meeting needs including A/V, furniture, and coordinate event details. Serve as primary liaison with Facilities, Chartwells, ITS, and other on‑campus partners. Facilitate and manage walkthroughs of the spaces as a selling technique and to resolve questions before the event date. Work with outside vendors to ensure a seamless event experience. Manage all necessary work and IT requests for the Alumni Center, EXP and 300 Mass Ave. Propose and lead updates and renovations to meet evolving client needs. Develop and maintain consistent operational standards across all venues. Implement streamlined workflows and improve current processes (request forms, pricing structures, etc.). Manage the full lifecycle of invoice and payment processes, including generating invoices, processing payments, monitoring balances, and maintaining account ledgers. Support external clients by consolidating vendor costs and internal venue charges into client‑facing contracts, ensuring compliance and accuracy before invoicing. Maintain the Advancement Venues website with current information and collaborate with the central university team. Assist with reservation requests and inquiries for other Advancement‑operated spaces as needed. Manage Advancement‑owned inventory related to the event spaces (AV and tech equipment, linens, etc.). Student Workforce Management & Leadership Recruit, hire, train, and develop a pool of 25–35 student supervisors and staff for all Advancement‑operated event venues in audio, video, front‑of‑house, and security roles. Recruit, hire, train, develop, and manage a pool of 10 student employees for the front desk at 300 Mass Ave during operating hours (9 a‑9 p). Create and manage a training program and resources that continually develop staff and inspire best performance. Set and communicate performance expectations and provide feedback and up‑training as needed. Create, manage, and maintain student staff schedules to ensure appropriate staffing for all events. Ensure the 300 Mass Ave entrance and front desk are staffed during operating hours, Sunday‑Saturday 9 a‑9 p. Communicate regularly with scheduling, operations, and staff about available shifts, staffing reminders, and operational updates. Technical Operations Oversee and provide support for audio/visual and other technical services for all Advancement‑operated event venues. Make recommendations to event clients for necessary technology. Present on site to manage and troubleshoot at high‑profile events. Partner with outside vendors to ensure equipment is up to date and running optimally. Develop and maintain resources and guides for all AV/IT equipment. Train student staff on event equipment and AV protocols for all venues. Oversee and manage all AV needs for division‑wide events such as meetings, town halls, and retreats. Operations Team Support & Other Duties As Assigned Provide logistical and operational support for internal division events such as meetings and retreats. Perform other operations team assignments and backup duties as required.
