Position Summary
We are seeking a Development Facilities Coordinator to provide administrative and operational support across our locations, including Sun Tan City, Wellness City, Planet Fitness, Buff City Soap, and 7 Brew. In this role, you will facilitate service calls, manage preventive maintenance programs, track mechanical assets, and utilize hands-on mechanical expertise to troubleshoot facilities issues.

Tasks & Responsibilities

• Service Request & Technical Troubleshooting: Receive and prioritize service requests via phone and email; leverage a strong mechanical background to troubleshoot minor HVAC, plumbing, electrical, and general handyman issues with store locations prior to placing vendor service calls.
• Plan & Blueprint Review: Read and interpret facility plans and blueprints to assist with location layouts, maintenance, and capital projects.
• Vendor & Landlord Relations: Communicate directly with vendors, property managers, operations teams, and internal maintenance crews to schedule and resolve service calls.
• Asset & Maintenance Tracking: Maintain master files, service databases, and mechanical asset tracking across all brand locations via Woven.
• Preventive Maintenance: Coordinate, track, and report on all scheduled preventive maintenance programs.
• Financial & Administrative Support: Update service ticket costs, code and approve vendor invoices via Docuware, manage procurement, and maintain business licenses.
• Project & Warehouse Support: Assist the Director of Facilities with ongoing capital projects, new store sets, remodels, upgrades, and monthly warehouse inventory counts.

Qualifications

• Experience & Background: 5+ years of administrative support experience, paired with a solid mechanical/handyman background.
• Technical & Mechanical Skills:

-Ability to read and interpret facility plans and blueprint (Procure)
-Hands-on mechanical background with the ability to troubleshoot minor HVAC, plumbing, electrical, and general handyman issues.
-Proficiency in Microsoft Office (Excel, Word, Outlook, Teams), facility software (Woven), document management, procurement, and invoice systems (Docuware).

• Industry Knowledge: Basic knowledge of facilities maintenance management and Glow Brands businesses preferred.
• Key Attributes: Strong written and verbal communication, tenacity/results orientation, excellent organizational skills, customer-service mindset, and the ability to self-manage tasks based on priority.

Work Conditions & Physical Demands

• Rotating on-call availability for urgent facility issues during evenings and weekends.
• Ability to sit for extended periods and operate standard office/computer equipment.
• Ability to work occasionally in compact server/utility spaces with elevated noise levels and temperatures.
• Physical ability to lift or move up to 50 pounds, operate a pallet jack, and maneuver loaded skids.
• Occasional standing, walking, reaching, climbing, balancing, stooping, kneeling, or crouching.
