JOB SUMMARY Performs tasks with responsibilities that are guided by policies and procedures. Provides guidance, information, and/or assistance to internal and external Authorized Representatives and Producers (Sales Representatives). Develops relationships of support so that others achieve the regulatory objectives and requirements of the Sales Division. Controls and manages all documentation related to the licensing process, designations and records of training and testing of the Sales Division. ESSENTIAL FUNCTIONS Performs constant monitoring of licensing, contracts, and designations of Sales Representatives through online license services of the National Association Insurance Commissioners (NAIC) platform and performs analysis and submissions on the corresponding determination. Verifies the license’s status of Sales Representatives, completes background check and review valid sanctions and exclusion from the list of OIG / GSA / OFAC. Performs functions associated with upgrades and monitoring of licensing process, contracts, designations and required training of the Sales Division. Maintains comprehensive and audit-ready records for each Sales Representative, including licensing and appointment documentation, contracts, commission payment records and payment books, PMS documentation, required training records, and other supporting documentation. Ensures files are accurate, complete, current, and readily available for internal or external audits. Prepares and maintains licensing and contracting reports, tracks pending and completed requirements, and provides management with timely status updates, metrics, and analysis related to licensing, appointments, contracts, commissions, and overall representative readiness. Prepare all the necessary documentation for decision making in terms of movements of licenses or contracts requested for issues on feasibility of licensing, current or future status. Assist in the licensing audit process, contracts or designations of internal or external regulatory agencies or contracted suppliers, as applicable. Personally assists in the contracting and recruiting process with Sales Representatives. Manage and protects contracts, designations, licenses, and supporting documents required for the compliance with policies and procedures of Triple-S and any other state or federal regulator. Participates in cross training and/or rotations to collaborate or assist in other tasks of the unit, for professional growth and the unit’s achievements. Assists in other duties as solicited by management. EDUCATION Associate's Degree in Business Administration EXPERIENCE Associate Degree or at least 60-64 college credit in Business Administration, with one to three years of experience in tasks associated with licensing, contracts and mastery of Microsoft programs.
