AuthoraCare Collective is currently seeking a Program Support Coordinator. This is a full-time hybrid position, Monday - Friday 8:00am - 5:00pm. Provide programmatic support and clerical support for all Behavioral Health and Care Coordination programs. Provides call and answering general questions about counseling, behavioral health, and care coordination services. Collective GSO campus. Assists with program data entry. Assists with marketing activities for Behavioral Health and Care Coordination. Oversees daily business operations related to Behavioral Health and Care Coordination services. Requirements Education and Experience High school diploma with a minimum of three years of administrative experience, including typing (55wpm) required Experience and/or education with medical and counseling terminology Experience with budgeting and invoicing. Experience with EMR Experience with entering insurance information Successful completion of a secretarial training program preferred. Proficiency in computer programs including Microsoft, as well as telephone, copier and fax abilities required. Excellent verbal and written skills. Other: Valid state-issued driver's license required. Must carry automobile liability insurance at limits required by agency. Must have own transportation. Key Responsibilities Program Support Coordination Support and manage planning and coordination of department activities and programs. Can work autonomously to keep program and all related processes running smoothly. Many activities and programs are periodic, and it is the responsibility of the Program Coordinator to take initiative and follow through to completion, meeting deadlines. Counseling and CAP referrals (calls, emails, and faxes); data entry and scheduling appointments Counseling and Grief support groups (scheduling, mailings, registering, coordinating outreach materials and group materials) Counseling and Grief workshops and programs (scheduling, mailings, registering, coordinating outreach materials, preparing workshop materials, room, and technology setup) Assists in scheduling and coordinating events, scheduling rooms, making other arrangements and room set up as requested Monitors and communicates staff availability for program needs and events Provides minutes and other required documentation for meetings as requested Prepares and updates routine and special communications for counseling programs and activities Office Management Acknowledges, greets, directs, and informs visitors and clients as assigned/needed Answer incoming calls for AuthoraCare Collective as needed and the counseling center. Handle sensitive calls, such as fielding compliance concerns/complaints and handles such calls properly using own judgment Maintain budget and track expenditures/transactions for all assigned departments Execute and oversee virtual banking system for collection of co-pays Collect monies for counseling services or other services as needed Assist in monthly reporting for banking system related to counseling operations Purchase office supplies Processes mail when needed Coordinate communication and tasks with Payroll, IT, Development, Facilities (Lusk Center), Finance, Human Resources, Kids Path) as assigned Edit, sign, and send correspondence (including non-routine letters) Track data and produce reports for ACC Tactical (monthly), Annual Reports and Board Summaries for assigned departments Maintain and update EMR client information; includes scanning and indexing client documents Provides front desk coverage for GSO campus as assigned/needed Checks out library books to visitors and refiles books as needed Coordinates the opening of the building in mornings and closing in evenings as assigned/needed Summary Our Mission AuthoraCare Collective empowers people to be active participants in their care journey, enabling them to live on their own terms through personalized support for mind, body, and spirit.
