Job Summary

Our client is seeking an organized, detail-oriented Operations & Billing Coordinator to manage the order-to-cash lifecycle. This role is highly transactional and focuses on executing order data entry, managing approximately 60 orders per week. The ideal candidate will possess strong organizational skills and the financial acumen to handle billing, collections, and account reconciliation. This position will also serve as backup to the Administrative Analyst who answers the phone, so exceptional customer service skills are a must.

Core Responsibilities

• Fulfillment & Order Entry: Accurately enter and process all incoming customer purchase orders into QuickBooks and internal tracking systems.
• Invoicing: Promptly convert shipping manifests and completed orders into formal customer invoices.
• Cash Application: Reconcile daily incoming payments (ACH, credit cards, wire transfers, checks) against outstanding customer accounts.
• Collections \& Accounts Receivable: Monitor AR aging reports, follow up on past due invoices.
• Order Fulfillment: Coordinate with warehouse/3PL partners to ensure timely shipping of products and monitor reorder points.
• Order Logistics: Coordinate delivery timelines, freight shipping, and logistics for equipment.

Qualifications

• Experience: 2–4 years of experience in accounts receivable, billing, or sales operations.
• Software Proficiency: Advanced, hands-on experience utilizing accounting software.
• Skill Set: Exceptional numerical accuracy, strong attention to detail, ability to prioritize effectively, and a professional phone/email demeanor
