Guest Services Coordinator

Law firm is seeking a Guest Services Coordinator to join their team.

Responsibilities :

• Plan and coordinate internal and external office events, including venues, catering, décor, staffing, entertainment, facilities, and materials
• Schedule and manage conference rooms for meetings and events
• Coordinate with caterers and food vendors
• Arrange food and beverage orders for meetings
• Set up and break down conference rooms, registration areas, and food service stations for meetings and events
• Review catering invoices for accuracy and route them for appropriate approval
• Maintain conference room, kitchen, food, beverage, and supply inventories; coordinate replenishment as needed
• Ensure satellite kitchens and conference rooms are clean, organized, fully stocked, and properly maintained
• Coordinate kitchen equipment repairs and maintenance with the appropriate administrative, facilities, and operations teams
• Oversee delivery of office food and beverage supplies, including coffee, tea, paper products, utensils, and cleaning supplies
• Clean and maintain office refrigerators on a regular schedule
• Serve as a backup receptionist and provide front desk coverage during breaks and lunch, as needed
• Assist with visitor office reservations and prepare offices for incoming visitors.
• Partner with Marketing and Business Development on special events and related logistics

Qualifications :

• Bachelor's degree
• At least 2+ years of experience in hospitality, event coordination, or office services required
• Proficiency in Microsoft Office required
• Previous law firm or professional services experience highly preferred
• Flexibility to work overtime as needed

Salary Range: $62-75K
