Event Coordinator

The Hotel Event Coordinator works with clients to plan and execute on‑site events ensuring guest satisfaction. They collaborate with the Executive Team to identify strategies and tactics that drive revenue according to the hotel’s seasonal demand. DUTIES AND RESPONSIBILITIES Deliver on the promise of Sonesta Service in all interactions with guests and clients. Manage according to the Sonesta G.U.E.S.T. standards and instill a passion for customer service among all associates. Develop and maintain relationships with key clients and vendors. Plan event details including layout, menu, guests and other vendor access. Work as part of the senior leadership team to positively impact the operation of the hotel. Create invoice reports and collect payments. Coordinate with other hotel‑level departments to facilitate services agreed upon by the Sales Office and prospective clients. Plan for and manage potential scenarios that could impact event integrity. Maintain positive relationships with local community officials and representatives. In coordination with the General Manager, represent the hotel on media inquiries and refer sensitive matters to Corporate Communications. Prepare weekly/monthly reports on account status. Act as “Manager on duty” as required. Attend evening social and breakfast events as a hotel management representative to prospect for additional sales leads. Ensure compliance with federal, state, and local laws regarding health, safety, and alcohol services. QUALIFICATIONS AND REQUIREMENTS Bachelor’s degree in Hotel Administration, Business Administration or a related field (preferred). Three years of previous hotel experience (preferred). Background in food service management (preferred). Fluent spoken, read, and written English; additional languages beneficial. Professional verbal and written communication skills. Mathematical skills—basic math, budgeting, profit/loss concepts, percentages, and variances. Ability to prioritize and organize work assignments. Problem‑solving, reasoning, motivating, organizational, and training abilities. Experience with Microsoft Office and automated sales systems (preferred). Valid driver’s license required. Frequently standing, bending, climbing, kneeling, and moving around the facility. Frequent lifting, pulling, or carrying items up to 50 pounds. Frequent handling of objects and equipment.
