Reports To: Receiving & Inventory Coordinator

Role: Primary QC Inspector — inbound check-in

Workflow Tier: Tier 1 Inbound (front of the blank-goods loop)

Growth Path: Lead Receiving / QC as the team grows — built into the Coordinator's duplication plan

Schedule: Monday–Friday, aligned to the inbound receiving schedule

Location: Pittsburgh Print House

Position Summary

The Receiving Agent is the primary QC inspector at the front of the shop. Working from the priorities set by the Receiving & Inventory Coordinator, this role checks in every incoming piece of blank goods against its paperwork, catches problems before they reach the floor, and stocks as many production-ready jobs as possible into staged inventory.

This is the hands-on engine of Tier 1 inbound. Accuracy and speed here are what let the Receiving & Inventory Coordinator build the 3–5 days of staged, verified inventory that gives the Production Coordinator room to pivot. Every mispick, damage, or bad work order this role catches at check-in is a fire that never reaches production.

This role is built for growth. As the inbound team scales, the Receiving & Inventory Coordinator duplicates herself through this position — grooming a Lead in this area to create coverage and a clear path for upward mobility.

Key Responsibilities

Primary QC Inspection & Check-In

•    Check in every incoming piece of blank goods against its purchase order, worksheet, and packing list.

•    Work the check-in queue in the priority order set by the Receiving & Inventory Coordinator — hottest jobs first.

•    Verify correct style, color, size, and quantity on every order before it moves to staging.

•    Inspect for manufacturer damage and defects — stains, holes, missewn seams, dye issues — and pull anything that fails.

•    Follow all check-in SOPs precisely and keep documentation traveling correctly with the goods.

Error Identification & Reporting

Catch and report every problem at the door, from both outside vendors and inside the building.

•    Identify and report mispicks and misordered goods from vendors and distributors.

•    Flag damages and defective pieces the moment they surface at check-in.

•    Report incorrect work orders coming from the PPH orders team so paperwork errors are caught before production, not after.

•    Document each issue accurately — with counts and photos where required — and hand it to the Receiving & Inventory Coordinator for vendor or customer follow-up.

Stocking Production-Ready Jobs

•    Stock as many complete, verified, production-ready jobs into staged inventory as possible.

•    Move checked-in, passing goods promptly into the correct staging location so they are ready to pull.

•    Keep partial or problem orders clearly separated so only true production-ready jobs are counted as staged.

•    Support the Coordinator's goal of holding 3–5 days of staged inventory ahead of production.

Receiving & Truck Support

•    Support the Receiving & Inventory Coordinator and Assistant Production Coordinator in offloading inbound trucks.

•    Sort and stage new arrivals into the QC check-in area as orders await inspection.

•    Move goods safely using pallet jacks, carts, and skateboards; keep check-in and staging zones clean and organized.

Daily Numbers & Reporting

•    Track daily check-in numbers — pieces checked in, errors caught, jobs stocked to inventory.

•    Submit those daily numbers to the Receiving & Inventory Coordinator at end of day, feeding the department's EOD data to the Production Coordinator.

•    Work each day from the priorities and action list the Coordinator passes down.

SOP Compliance, Safety & Growth

•    Follow and reinforce all receiving and check-in SOPs consistently.

•    Maintain safe equipment use and a clean, organized work area at all times.

•    Build toward a Lead role as the team grows — learn the full inbound workflow and be ready to train and cover for others.

Physical & Skill Requirements

•    Ability to stand for a full shift and lift 50 lbs regularly and safely.

•    Comfortable and safe with pallet jacks, carts, skateboards, and material-handling tools.

•    Sharp visual accuracy for spotting defects, mislabels, miscounts, and mismatched SKUs.

•    Strong attention to detail and high accuracy tolerance for counts, PO matching, and QC verification.

•    Able to follow SOPs consistently and work both independently and as part of a team.

•    Comfortable with Trello, Deco, and scanning systems for check-in and order movement.

•    Reliable, punctual, and comfortable with repetitive tasks while maintaining quality.
