Position Description – Receptionist

Summary of Responsibilities:

Greet customers, help with check in process, offer a wait time, and if long, offer options to waiting. Offer where in salon
customers can wait and what we have to entertain their children. Keep in mind that our company goal is to provide
haircutting services and products that will create a fun and memorable experience to the children and parents alike.
Ensure consistency in all aspects of operations and day‐to‐day activities. Build the Pigtails & Crewcuts brand by being a
positive example.
Key Responsibilities:
 Enter information for new customers in computer accurately. Add notes for existing customers as Stylists
prepare. Check on notes and communicate with stylists before they begin styling the customer.
 Assure that all documentation is complete, to include, but not limited to, marking coupons appropriately,
tracking referrals appropriately, tracking special programs appropriately, and assuring the wait list is accurate
and complete.
 Answer phones within 3 rings.
 Offer information on calling in, possible wait times and how the process works best for the customer.
 Anticipate their questions and offer more information than they ask. Screen calls for stylists and for owner. Ask
who is calling and what it is regarding.
 If customer needs assistance with making an appointment, offer and do so.
 Check out customers carefully either by cash or credit card. Assure all discounts are included and accurately
inputted, request any coupons before finalizing the sale.
 Follow POS guidelines and checklists for opening, shift changes and closing procedures.
 Evening checkout is to be done with all exterior doors locked. Assure credit card reports match POS reports and
complete check out procedure checklist in its entirety.
 Cleaning must be done when the salon is not busy. Working on personal items, talking on cell phone & personal
social networking are only permitted on break times or outside of work.
 Periodically, at least 4 times per hour, check that the following areas are clean and functioning properly: retail
spaces, bathroom, party room and reception area.
 Keep retail shelves clean, organized and stocked.
 Keep treasure chest clean and well stocked.
 Assist with keeping Tv’s on with an appropriate age of PG rating children’s movie.
 If salon is busy, clean chairs and sweep hair to expedite the time stylists can move from one customer to the
next.
 Assist with tracking Stylists tips to ensure proper daily tip payout to the Stylists.
