The Client Support Associate provides a blend of administrative, basic bookkeeping, and personalized client support for a family office client. Working closely with the firm's client service team, this position maintains accurate records, coordinates daily activities, and responds professionally to client needs. The associate will receive hands-on training in established processes and gradually assume responsibility for assigned work. Success requires organization, discretion, attention to detail, sound judgment, and a service-oriented approach. What You'll Do: Perform routine bookkeeping activities, including transaction entry, reviewing and reconciling daily account balances, and maintaining accurate financial records. Assist with accounts payable, payments, expense tracking, and preparation of basic financial reports and supporting schedules. Provide administrative support, including correspondence, document management, scheduling, and follow-up on requests. Communicate clearly and professionally with clients and firm colleagues; provide timely updates and escalate issues appropriately. Handle sensitive personal and financial information with accuracy, discretion, and confidentiality. Manage competing priorities, meet deadlines, and take ownership of assigned tasks while working independently and collaboratively. Learn and follow established client procedures and software applications, including QuickBooks, Excel, Word, and Outlook. Assist with organizing records, researching discrepancies, and preparing information for tax and client service professionals. Support documentation of recurring processes and identify practical opportunities to improve efficiency. Provide patient, respectful assistance with routine technology or administrative questions. Perform other related client service and administrative duties as assigned. About You: High school diploma or equivalent required; additional college education or experience in business, accounting, or a related field preferred. Familiarity with basic bookkeeping concepts and the ability to work accurately with financial information. Administrative, bookkeeping, executive support, or client service experience preferred; relevant transferable experience considered. Working knowledge of Microsoft Excel and Word; strong organization, communication, problem-solving, and follow-through skills. Experience with QuickBooks, reconciliations, or financial reporting preferred; ability and willingness to learn client-specific processes required.
