Project & Events Manager

Position Summary The Project & Events Manager will oversee the planning, execution, and administration of BioCT’s signature events, workforce development programs, and assigned projects. This role is both strategic and hands‑on, requiring exceptional organizational, project management, and communication skills. The ideal candidate is highly detail‑oriented, flexible, and experienced in managing multiple projects simultaneously while working collaboratively across a small, dynamic team. Essential Duties and Responsibilities To perform this job successfully, an individual must be able to perform the following satisfactorily; other duties may be assigned. Event Planning & Execution Lead planning and execution of BioCT’s signature events, educational workshops and training programs, and act as primary liaison on co‑hosted/coproduced events. Manage all logistics and vendor relationships: venue selection, contracts, catering, AV, signage, speaker & trainer management, transportation, and registration. Develop, execute, and adhere to event timelines, budgets, and run‑of‑show plans. Coordinate speaker logistics, sponsor participation, and partner involvement. Track event KPIs such as attendance, participant feedback, sponsor retention, and revenue. Project & Program Management Manage cross‑functional projects, ensuring milestones, deliverables, and deadlines are met. Track project progress, identify obstacles, and implement solutions to keep initiatives on schedule. Maintain clear documentation of workflows, timelines, and budgets. Administration & Operational Support Maintain and update membership databases, career portal, event calendars and event registration systems. Communications & Outreach Support Draft program communications for inclusion in newsletters, social media, and updates to members. Collaborate with communications staff to produce graphics, promotional materials, and content for events. Capture event highlights, testimonials and stories to support ongoing member engagement and outreach. Stakeholder & Member Engagement Serve as a primary point of contact for event attendees, sponsors, speakers, and vendors. Build and maintain professional relationships to support events and organizational initiatives. Facilitate sponsor benefit fulfillment and follow‑up engagement. Data, Reporting & Continuous Improvement Track event and project metrics, budgets, and KPIs; prepare post‑event and post‑project reports and any required surveys. Use data to improve processes, optimize outcomes, and support leadership decision‑making. Assist in gathering information for grant reporting and audits. Flexibility & Cross Functional Support Adapt to shifting priorities and work outside primary areas of expertise as needed. Collaborate with other staff on special projects, committees, and cross‑team initiatives. Proactively identify opportunities to streamline processes, improve workflows, and enhance event and program outcomes. Be available as needed for events outside of office hours. Occasional state‑wide travel required. Competencies Synthesize complex or diverse information; use intuition and experience to complement data; design workflows and procedures. Qualifications Bachelor’s degree, 3+ years related experience in project and event management. Equivalent combination of education and experience may be considered. Experience in the life sciences sector preferred. Computer skills: Microsoft Office, Canva, Adobe, CRM database. Note This is a hybrid, New Haven based role; in office 2–3 days per week. Must be able to travel and represent BioCT at stakeholder events, including occasional evening events. Driver’s license and personal transportation required.
