Professional-Operations Services SpecialistProvides financial, administrative, and operational support for district facility improvement, bond, and capital projects, as well as daily operations and maintenance functions. Monitors project budgets, expenditures, purchasing activities, and financial transactions; coordinates procurement of materials and services with staff, vendors, and contractors; maintains project documentation and financial records; manages the district work order system and related reporting; and supports efficient operations, compliance, and informed decision-making.Essential Duties And Responsibilities: Other duties may be assignedMonitors department, bond, capital improvement, and facility project budgets, expenditures, commitments, and financial transactions; maintains accurate financial records and identifies potential budget concerns.Coordinates procurement of supplies, equipment, materials, and services with district staff, vendors, and contractors; maintains related purchasing documentation, including requisitions, purchase orders, contracts, and invoices.Establishes and maintains accurate project, financial, and operational records and files; prepares reports, budget summaries, and other documents for district administration, district leadership, and the Board Of Education.Manages department inquiries, responds to requests for information and materials, and serves as a liaison with school personnel, departments, programs, vendors, contractors, and other stakeholders.Receives, routes, and manages district work requests through the electronic work order system; generates preventive and corrective work orders and related operational reports.Supports facility improvement and maintenance projects by coordinating with operations staff, contractors, vendors, district departments, and local municipalities, including obtaining required inspection certificates.Maintains documentation and records necessary for audits, inspections, regulatory compliance, and district procedures.Maintains knowledge of current district policies, objectives, goals, and operational procedures.Seeks opportunities to improve job performance, operational efficiency, and service delivery.Other duties as assigned.Education And/Or Experience (Required And Preferred)High school diploma or GED required.A bachelor's degree in Business Administration or a related field is preferred.Experience equivalent to 2-3 years of clerical, accounting and office practices.To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
