We are committed to providing dependable care and exceptional service to our clients, families, and caregivers.We are seeking a highly organized, dependable, and compassionate Administrative Coordinator & Scheduler to join our growing team.This role is an important part of our day-to-day operations. You will be responsible for caregiver scheduling, client coordination, and administrative support, helping ensure that our clients receive consistent, dependable care.The ideal candidate is detail-oriented, organized, professional, and able to manage multiple priorities while remaining calm and solution-oriented. This position requires someone who can work independently, take initiative, and genuinely enjoys helping clients, families, and caregivers.Key ResponsibilitiesCoordinate and manage caregiver schedules for client assignmentsEnsure proper coverage for all shifts, including urgent and last-minute needsRespond to caregiver call-outs and assist with finding replacement coverageCommunicate schedule updates clearly with caregivers and clientsMaintain accurate schedules in our home care software/EMRFollow up on scheduling issues and outstanding tasksAssist with onboarding new caregivers, including documentation and follow-upMaintain employee and client files and documentationAssist with background checks and employment verificationsTrack and follow up on required documents and certificationsAssist with maintaining accurate employee records and compliance documentationAnswer incoming calls in a professional, warm, and empathetic mannerAssist with client inquiries and scheduling consultationsCommunicate with clients and families regarding scheduling and routine service needsDocument interactions and updates in company systemsSupport coordination between clients, caregivers, and leadershipHelp maintain positive relationships with clients, families, and caregiversData entry and record maintenance using cloud-based systemsMaintain confidentiality at all timesSupport leadership with additional operational needs as requiredTrack and follow up on important operational goals and informationHelp keep the office organized and running efficientlyQualifications1–3 years of relevant experience preferredExperience in home care, healthcare, scheduling, staffing, or administration strongly preferredProficiency with Microsoft Office and cloud-based computer systemsExperience with scheduling software or EMR systems is a plusStrong organizational and time-management skillsExcellent attention to detail and follow-throughAbility to multitask and prioritize effectivelyStrong written and verbal communication skillsAbility to remain calm, flexible, and solution-oriented in a dynamic environmentSelf-starter with a strong sense of accountability and ownershipWhat We're Looking ForSomeone who can see the big picture while managing the detailsA team player who takes initiative and follows throughA professional who values organization, structure, and accountabilitySomeone who genuinely cares about supporting families and caregiversSomeone who is dependable and wants to become an important part of a growing teamCompensation & Schedule$20–$23 per hour, based on experienceApproximately 25 hours per weekMonday–Friday scheduleTypical hours may be 9:00 AM–2:00 PM or 10:00 AM–3:00 PMFlexible scheduling with the ability to adjust hours based on the needs of the officeOccasional on-call availability may be requiredPaid earned vacationPaid holidaysRetirement planPerformance-based incentive opportunitiesOpportunity for additional hours and growth as the agency expandsWhy Join SYNERGY HomeCare?Be part of a growing and supportive home care teamMake a meaningful impact in the lives of clients and familiesWork closely with caregivers and help ensure clients receive dependable careGain valuable experience in healthcare operations, scheduling, and care coordinationBe part of a team where your work directly contributes to the success of the agencyOpportunity to grow with the agencyTo learn more about the position, call Mable at View phone number on click.appcast.io.
