HR Systems Specialist (ADP Workforce Now)

Position Summary:

We are seeking a hands-on HR Systems Specialist to own the configuration, maintenance, and ongoing optimization of ADP Workforce Now across Keystone and its partner agencies. The ideal candidate knows ADP Workforce Now inside and out, from security roles and workflows to integrations and data loads, and enjoys building practical, reliable system solutions to business problems.

This role keeps the platform running accurately and efficiently as Keystone grows. The HR Systems Specialist configures and supports the system, manages integrations and vendor relationships, brings newly acquired agencies onto the platform, and controls how changes are tested, released, and documented.

Key Responsibilities:

• Serve as the primary system owner and subject matter expert for ADP Workforce Now, handling configuration, maintenance, and day-to-day administration.
• Configure and maintain company codes, custom fields, pay and benefit setups, workflows, approval processes, and system settings to support evolving business needs.
• Build and maintain workflow automation to streamline HR processes and reduce manual work.
• Manage integrations and data feeds between ADP Workforce Now and connected systems (e.g., benefits carriers and other third-party vendors), monitor file transmissions and resolve errors.
• Lead the system side of M&A integrations, including setting up new entities, mapping and loading employee data from acquired agencies, and validating results post-conversion.
• Perform mass data uploads, imports, and updates, ensuring data integrity through audits and validation checks.
• Administer security roles, user access, and permissions, ensuring appropriate access and protection of confidential employee data.
• Serve as the escalation point for system support tickets, troubleshoot issues, identify root causes, and partner with ADP support to resolve cases.
• Manage system testing, change management, and deployment of configuration changes, new releases, and enhancements to ensure controlled, seamless updates.
• Build and maintain standard and custom reports to support HR operations, payroll, benefits, and compliance needs.
• Maintain up-to-date documentation of system configurations, integrations, security setups, and processes.
• Provide end-user training, job aids, and ongoing support so employees and HR staff fully leverage ADP Workforce Now.
• Stay current on ADP Workforce Now releases, features, and best practices, recommending enhancements that improve system performance and user experience.

Qualifications:

• Minimum of 5 years of hands-on experience configuring, administering, and supporting ADP Workforce Now
• ADP Workforce Now certification or formal ADP training a plus
• In-depth knowledge of ADP Workforce Now architecture, including security roles and permissions, workflows, custom fields, and system configuration best practices
• Experience managing system integrations, data feeds, and vendor file transmissions
• Experience with data conversions, mass uploads, and new entity setups; experience in a multi-entity or M&A environment strongly preferred
• Experience building and maintaining reports in ADP Workforce Now
• Working understanding of how HR, payroll, and benefits processes flow through an HRIS
• Strong proficiency in Microsoft Excel, including data exports, imports, validation, and manipulation to support system maintenance and data loads
• Strong troubleshooting and problem-solving skills with a focus on root cause analysis and scalable, sustainable solutions
• Skilled in creating and maintaining clear, accurate documentation for system configurations, business processes, and technical specifications
• Excellent written and verbal communication skills, with the ability to explain technical concepts to non-technical audiences
• Ability to handle sensitive and confidential information with discretion and sound judgment 
• Demonstrated ability to prioritize work, meet deadlines, and adapt in a fast-paced, evolving environment 
• Self-motivated, resourceful, and flexible; able to multitask and set priorities while driving toward clarity and solutions 
• Occasional travel may be required
• Ability to pass a criminal background check, as permitted by law

Hours:  Monday-Friday, 8:00am-5:00pm
