Administrative Assistant VI

The Criminal Investigations Division is seeking an Administrative Assistant VI. Performs highly complex administrative support or technical program assistance work for the Law Enforcement Division. Work involves dissemination information, maintain filing systems, data entry and administrative support work. Works under limited supervision with moderate latitude for the use of initiative and independent judgment. The OAG is a dynamic state agency with over 4,000 employees throughout the State of Texas. Essential Position Functions:

  • Prepares, edits, and distributes correspondence, reports and maintains all digital files.
  • Scanning documents, organizing case files, preparing data reports, and supporting the unit.
  • Strong organization skills, interpersonal communication skills, and experience using Excel, Microsoft Word, Adobe, Outlook, and graphic/digital layout and design skills are highly recommended for this position.
  • Prepares purchases requisitions for division.
  • Performs general office duties, Case Management for the unit including opening/closing, tracking activity in pending cases, maintaining stats, assigning CFS numbers when required, updating and maintaining spreadsheets.
  • Provide training to new employees for travel, timekeeping and OAG policy.
  • Corresponding with the public and other agencies with general information requests and inquiries and maintaining logs of said communication.
  • Compiles data for databases and prepares statistical summaries or reports.
  • Manages and maintains schedules and travel arrangements for staff to include travel reimbursement.
  • Managing IT on-boarding for volunteers and new personnel; Preparing and submitting separation paperwork when volunteers and/or personnel depart the unit.
  • Managing interns and assisting with intern applications, background paperwork, orientation, and administration of the internship program.
  • Assisting unit personnel with grant reporting, data compilation, and application requirements.
  • Assisting unit personnel with training and conference organization tasks (prior to, during, and after training events).
  • Prepares Public information Act (PIA) responses for the division.
  • Assist division management as needed with special projects.
  • Performs related work as assigned.
  • Maintains relevant knowledge necessary to perform essential job functions.
  • Attends work regularly in compliance with agreed-upon work schedule.
  • Ensures security and confidentiality of sensitive and/or protected information.
  • Complies with all agency policies and procedures, including those pertaining to ethics and integrity.

Minimum Qualifications:

  • Education: Graduation from high school or equivalent.
  • Experience: Six years of full-time experience working in the following (or closely related) fields: administrative support, clerical work, customer service, general office, secretarial work, or legal support.
  • Knowledge of office practices and administrative procedures and criminal justice system.
  • Skill in using Microsoft Office to include excel.
  • Skill in handling multiple tasks, prioritizing, and meeting deadlines.
  • Skill in effective oral and written communication.
  • Ability to receive and respond positively to constructive feedback.
  • Ability to work cooperatively with others in a professional office environment.
  • Ability to provide excellent customer service.
  • Ability to work in person at assigned OAG work location, perform all assigned tasks at designated OAG work space within OAG work location, and perform in-person work with coworkers (e.g., collaborating, training, mentoring) for the entirety of every work week (unless on approved leave).
  • Ability to arrange for personal transportation for business-related travel.
  • Ability to work more than 40 hours as needed and in compliance with the FLSA.
  • Ability to lift and relocate 30 lbs.
  • Ability to travel (including overnight travel) up to 5%.

Preferred Qualifications:

  • Education: Bachelor's degree from an accredited college or university; experience in the following (or closely related) fields may be substituted for the required education on a year-for-year basis.
  • Experience: Communicating with investigators and personnel from local, state, and federal law enforcement agencies.
  • Knowledge: salesforce timekeeping & travel, Case Management, LCMS, Crimestar systems, OAG policies and procedures.
  • Abilities: To work with multiple Criminal Justice Organizations.
  • Certifications: Notary Public and CJIS certification.
  • Other Language: Ability to proficiently read, write, and speak Spanish.
