SUMMARY: The Office Administrator is responsible for assisting with the day-to-day operations of the DSW Commercial office by providing daily support to the principals, controller, property accountant, property managers, and staff. The Office Administrator is responsible for fielding phone calls, receiving and directing visitors, providing document support, maintaining inventory of office supplies, and establishing and maintaining effective processes and filing systems to ensure smooth office operation.
ESSENTIAL JOB RESPONSIBILITIES
Greet and direct guests, manage email, packages, and couriers. Answer telephone, assist and/or direct callers to the appropriate party. Maintain office and kitchen supplies, managing inventory of all office-related supplies. Process and complete purchase requests for the team. Upload purchase receipts into appropriate systems and record. Responsible for input and setup of new vendors into appropriate systems. Create user accounts, facilitate password changes, and submit tickets within YARDI. Track updates and changes to vendor accounts (including W9s, certificates of insurance, etc.) in systems. Verify autopay requests are processed by vendors. Process all updates and corrections of tenant accounts, including mailing and email address changes, lease renewal dates, and budget updates. Process and verify all mailed invoices, ensuring all are entered into appropriate system. Print, mail, or email monthly statements. Assist tenants with questions regarding statements and coordinate with property managers for resolution. Create check requests and billbacks for property managers. Responsible for completing deposits. Process payments into iStream banking system and facilitate manual deposits. Maintain and file all deposit backup information. Scan and record deposits into appropriate system (iStream Deposit). Maintain updated certificates of insurance for all property tenants and vendors. Distribute notices to tenants via mail or email as requested by property managers. Complete special projects as needed.QUALIFICATIONS
Prior experience in administration, preferably in a commercial real estate firm.
