Talent Acquisition Coordinator

Job Summary Full‑time, Probationary HR Professional I position in the Talent Acquisition (TA) department at Cal Poly Pomona, Pomona. Monday‑Friday, 8:00 a.m. – 5:00 p.m., on‑site location. Responsibilities Perform recruitment compliance tasks (reference checks, Ed Code verifications, retired annuitant reviews, and other pre‑hire compliance requirements). Review recruitment documentation at appropriate stages to ensure accurate and audit‑ready search files in PageUp and associated HR systems. Identify and promptly resolve compliance issues, discrepancies, or policy questions, escalating them to the appropriate Talent Acquisition Specialist or Manager. Maintain current knowledge of CSU policy, collective bargaining agreement requirements, and applicable employment law related to recruitment compliance. Provide administrative support for MPP III and MPP IV recruitments, including search committee logistics, candidate communications, interview materials, and evaluation documentation. Maintain and share resources and training materials for executive search administrative support, offering guidance and best practices. Oversee full‑cycle recruitment efforts for routine and entry‑level positions, from posting to onboarding, and assist with job postings, outreach, screening, and phone interviews. Represent the CPP at outreach and recruitment events as needed (job fairs, community or campus recruitment activities). Serve as backup to Talent Acquisition Specialists during periods of high volume or staff absence. Support the logistics and coordination of New Hire Orientation (NHO) and New Employee Welcome (NEW) events, including room setup, materials management, catering orders, shuttle services, and Microsoft Teams coordination. Manage Official Personnel File creation and indexing in OnBase, finalize job descriptions for posting, and maintain onboarding tracking tools such as the Cashiers Spreadsheet. Assist with special recruitment projects, reporting, and ad‑hoc initiatives; recommend continuous improvement to streamline processes, reduce risks, and enhance candidate experience. Qualifications Equivalent to a bachelor’s degree in a related field or substitutable experience on a year‑for‑year basis. General knowledge of human resources, benefits administration, recruitment, or another HR discipline. Skill in following guidelines and providing regulatory compliance feedback. Strong attention to detail, accuracy, communication, and interpersonal skills. Ability to work independently and collaboratively, build relationships with diverse stakeholders, and maintain confidentiality. Flexibility to adapt to changing priorities and deadlines. Organizational and analytical skills to plan, prioritize work, and summarize HR data and metrics. Computer proficiency for technology and relevant software packages. Preferred Qualifications Prior experience in a high‑volume environment where accuracy and deadline management were critical. Experience in human resources, recruiting, or talent acquisition support (e.g., interview logistics, requisition management, applicant tracking systems, onboarding). Experience implementing process improvements to increase efficiency or accuracy. Experience maintaining audit‑ready documentation and records in a compliance‑driven environment.
