Lead Surgical Scheduling Coordinator — Orthopedics & Neurosurgery

Location: Sacramento office; coordinates cases throughout Northern California

Schedule: Full-time, primarily on-site, with occasional coordination outside standard office hours

Compensation: $28–$32 per hour ($58,240–$66,560 annualized at 40 hours/week)

The Opportunity

Sierra Coast Interventional Pain (SCIP) is a multidisciplinary medical group serving patients throughout Northern California. We are seeking an experienced Lead Surgical Scheduling Coordinator to take ownership of outpatient orthopedic and neurosurgical case coordination from the surgeon’s decision to operate through the completed procedure and postoperative handoff.

Most cases take place at ambulatory surgery centers (ASCs), with hospital coordination when determined appropriate by the surgeon, anesthesia team, and facility.

The Lead Surgical Scheduling Coordinator will work from our Sacramento office and communicate regularly with surgeons, ASCs, clinical staff, patients, vendors, and SCIP management throughout Northern California.

What You Will Own

• Maintain a reliable, forward-looking surgical pipeline and schedule for orthopedic and neurosurgical cases across multiple surgeons and Northern California facilities.
• Translate the surgeon’s documented plan into an accurate case request, including procedure, levels/laterality, estimated time, anticipated anesthesia, positioning, imaging, implants, equipment, instruments, and requested vendors or representatives.
• Confirm clinical details with the surgeon or licensed clinical staff and never make clinical determinations independently .
• Evaluate facility availability and operational capabilities against documented case requirements.
• Escalate questions regarding ASC suitability, hospital requirements, patient risk, or anesthesia to the appropriate surgeon, anesthesia team, and facility for determination.
• Confirm surgeon privileges, facility policies, block time, staff availability, and required resources before finalizing a surgical date.
• Coordinate implant and instrument availability, loaner trays, imaging equipment, vendor representatives, shipping, sterilization, and facility deadlines.
• Track preoperative orders and requirements with the clinical team, including history and physicals, laboratory or imaging requirements, clearances, medication instructions, consent workflow, anesthesia review, and required documentation.
• Identify and escalate incomplete preoperative requirements early to prevent delays or cancellations.
• Keep patients, surgeons, facilities, clinical teams, vendors, and management aligned regarding dates, instructions, changes, cancellations, and urgent issues.
• Protect patient privacy and confidentiality in all communications.
• Maintain accurate records in the EHR and scheduling systems , track pending tasks, document confirmations, and ensure operative reports and postoperative appointments are appropriately handed off to the responsible teams.
• Develop and maintain surgical scheduling checklists, facility preference cards, and escalation processes.
• Monitor case delays, cancellations, and recurring scheduling issues and report trends to management.
• Identify opportunities to improve surgical scheduling workflows and overall case coordination.
• Assist with training and mentoring other scheduling or coordination staff as needed.

Required Qualifications

• At least 4 years of hands-on surgical scheduling or surgical case coordination experience , with substantial orthopedic, spine, or neurosurgical exposure.
• Experience coordinating surgical cases across multiple ASCs and/or hospitals.
• Working knowledge of common outpatient orthopedic, spine, and neurosurgical procedures.
• Experience coordinating implants, instrumentation, vendors, equipment, and surgical facility requirements.
• Demonstrated ability to independently manage a multi-step surgical caseload and anticipate potential problems before they affect the procedure.
• Strong communication skills and the ability to communicate professionally with surgeons, clinical staff, patients, facilities, vendors, and management.
• Excellent attention to detail, organization, and follow-through.
• Proficiency with EHR systems , scheduling platforms, shared trackers, and Microsoft Office or Google Workspace.
• Ability to work primarily from the Sacramento office and coordinate by phone and secure systems with facilities and surgeons throughout Northern California.
• Ability to maintain confidentiality and follow HIPAA requirements.

Strongly Preferred

• Experience in orthopedic, spine, neurosurgical, or specialty surgical practices .
• Experience coordinating with ambulatory surgery centers and hospitals.
• Familiarity with surgical scheduling requirements, facility protocols, and preoperative workflows.
• Experience coordinating implants, surgical instrumentation, medical device vendors, and equipment.
• Experience with surgical authorizations and insurance requirements.
• Experience improving scheduling or surgical coordination workflows.
• Previous leadership, mentoring, or training experience.
• Experience managing multiple surgeons and facilities simultaneously.

The ideal candidate is someone who takes ownership, anticipates problems, communicates clearly, and follows through . You should be comfortable managing multiple moving parts while maintaining accuracy and keeping surgeons, facilities, clinical teams, vendors, and patients informed.

This position is ideal for an experienced surgical coordinator who can operate independently, understands the urgency and detail required to coordinate surgical cases, and wants to take a leadership role in building and improving a growing surgical coordination program.
