Young Scholars Charter School (YSCS) is a free, lottery-based, open-enrollment charter school serving students from across Philadelphia in grades 5-8. The mission of Young Scholars is to provide a personalized middle school education that challenges, engages and prepares all students to passionately pursue their dreams and lead a life of active citizenship. Who are we looking for?

We are currently looking for a passionate hardworking  Middle School Operations Manager to join the YSCS team for the 26-27 SY. The Operations Manager is responsible for overseeing the day-to-day operational functions of the school to ensure an efficient and supportive learning environment. The person in this role plays an essential role in the front office and interacts with students and families on a regular basis. The Operations Manager role is a full-time 12-month position.

Responsibilities

• Ensures school-wide compliance with state and federal requirements;
• Mastery of PowerSchool, the student information system used to track student attendance, grades and demographic information;
  • Tracks student data in PowerSchool and Unified Classroom Behavior (Kickboard) information systems
• Utilizes PowerSchool to track and report daily attendance: specifically tardiness, absences and early dismissals; and follows up with parents if necessary;
• Mastery of Unified Classroom Behavior (Kickboard), the positive behavioral interventions and supports systems;
• Utilizes Kickboard to track student engagement assurance;
• Handles supply ordering and handles copy machine maintenance;
• Proficient and demonstrates knowledge of school policies and procedures;

• Maintain efficient and well organized electronic and paper data collection and filing systems, including confidential student and personnel files;
• Manages and maintains a clean, neat, orderly and efficient main office and desk space;
• Frequently check email and remain fully knowledgeable about school matters communicated via electronic correspondence;

• Managing school uniform voucher tracking;
• Oversees report cards (storing of grades, running honor roll, running failing students, printing).
• Ensures appropriate protocol for the maintenance of personnel files for all students;
• Manages and oversees the Operations Assistant;
• Greets parents and visitors including handling identification process as needed;
• Ensure phones are answered with quality customer service and calls are routed accordingly and/or messages are taken and delivered;
• Support in maintaining the overall aesthetic and operational excellence of the school in accordance with the Operational Excellence Rubric.

Qualifications and Skills

• Background and experience in school operations is required;
• Strong written and verbal communication skills including Google Drive, Microsoft Office, Word, Excel, and Outlook;
• Proactive and strong problem-solving skills;
• Technology skills with the ability to troubleshoot basic technical issues;
• Excited and eager to work in a fast-paced environment;
  • Ability to multitask under pressure;
• Highly organized with a strong attention to detail;
• Strong emotional intelligence and ability to regulate diverse temperaments;
• Experience managing others.

Educational Background and Work Experience

• Experience in managing schedules, maintaining records and handling correspondence;
• Experience in coordinating events, meetings, and other school/office functions, including preparing documents;
• 2-4 years of school operations experience is highly preferred;
• Bachelor’s degree is required;
• Experience with PowerSchool is required.
