Grant Coordinator I

General Description The purpose of this classification is to provide essential administrative, financial, and operational coordination to optimize reimbursable grant funds for the County. The Grant Coordinator I applies foundational local, state, and federal regulatory standards to support administration of grant programs, interagency documentation, and statutory reporting. Duties and Responsibilities The functions listed below are those that represent the majority of the time spent working in this class. Management may assign additional functions related to the type of work of the class as necessary. Coordinates with department personnel and senior staff to support compliance with applicable local, state, federal, and private grant regulations. Assist with research and identification of grant opportunities that align with the County’s strategic objectives. Supports fiscal year-end grant transitions and tracks recurring funding cycles, coordinating application intake and requisite documentation to ensure all annual submission deadlines are rigorously met. May include management of external vendors and contractors. Manage a condensed grant award portfolio, including tracking deadlines, budgets, and compliance requirements. Ensure adherence to funding guidelines, reporting timelines, and performance metrics. Assists in facilitating procurement and competitive bidding processes utilizing county templates, organizing federal wage determinations, and learning to draft independent cost estimates. Monitors and reconciles assigned grant portfolio. Assists corresponding departments in the preparation of reports that are required by state and/or federal grants. Compiles analytical data, cross-references program metrics, and submit routine monthly, quarterly, and annual performance reports for administrative review and submission. Establishes and maintains comprehensive project files, audit-ready records, closeout documentation, and long-term retention archives. Ensure all grant activities within assigned portfolio comply with local, state, federal, and organizational regulations. Manage allocated grant budgets and coordinate all financial transactions with corresponding department. Monitor expenditures and invoice completeness to ensure alignment with grant terms. Collect proof of all transactions and all backup documentation. Administers routine labor standards and civil rights compliance monitoring, including tracking certified payrolls for Davis-Bacon adherence. Prepare and draft administrative memorandums to present grant related information to the commissioner's court. Performs other related work as assigned. Minimum Education and Experience Requirements Education: Bachelor's degree from an accredited college or university in Public Administration, Business Administration, Social Work, Urban Planning, Finance, or a closely related field. Experience: Up to two years of professional or paraprofessional experience in public sector administration, contract monitoring, program support, or budget tracking; relevant internship or academic project management experience is applicable. Equivalency: An equivalent combination of specialized education, technical training, and directly related administrative experience that demonstrates the required competencies may be considered. Physical Demands/Work Environment Physical demands refer to the requirements for physical exertion and coordination of limb and body movement. Unavoidable hazards refer to the job conditions that may lead to injury or health hazards even though precautions have been taken. The work is typically performed sitting at a desk or table or while intermittently sitting, standing, bending, crouching, or stooping. The employee occasionally lifts light and heavy objects. The work is typically performed in an office. May include outdoor project site visits as project timelines require. Emergency Preparedness Tier Level: 4 Special Certifications and Licenses Prefers experience in Federal or State grant programs and related online portals.
