Medical Records Clerk - Correctional Setting

Schedule:

• Monday through Friday - 1st Shift
• No weekends
• No holidays
• Occasional overtime available (not mandatory)

Position Overview

We are seeking a detail-oriented Health Information Technician to support medical records and health information management operations within a healthcare setting. This position is ideal for candidates with strong administrative and medical office experience who are proficient in document management, data entry, and records maintenance.

The ideal candidate will have excellent organizational skills, experience working with confidential information, and the ability to accurately manage medical records in both paper and electronic formats.

Key Responsibilities

• Review, catalog, and audit medical records for completeness and accuracy.
• Organize and maintain patient charts and health information files.
• Scan and upload documents into the Electronic Health Record (EHR) system.
• Prepare charts for new admissions and process health information forms.
• Compile and maintain statistical reports, including:
• Admissions
• Discharges
• Daily and monthly census reports
• Medicaid days
• Length of stay reports
• File, retrieve, and maintain medical records and documentation.
• Verify that required reports, physician signatures, and documentation are present in medical records.
• Respond to authorized requests for health information while maintaining confidentiality standards.
• Coordinate with multiple departments regarding medical record procedures and documentation requirements.
• Maintain accurate logs, databases, and filing systems.

Required Qualifications

• Minimum of 9 months of experience in records management, administrative support, medical records, or related office functions.
• Minimum of 3 months of experience or coursework in medical terminology.
• Minimum of 3 months of experience or coursework in typing and data entry.
• Strong proficiency with:
• Microsoft Word
• Microsoft Excel
• Electronic document management systems
• Excellent attention to detail and organizational skills.
• Ability to recognize missing documentation and identify record discrepancies.
• Ability to maintain confidentiality of sensitive patient information.

Preferred Qualifications

• Previous medical office experience.
• Experience working with Electronic Health Records (EHRs).
• Familiarity with healthcare documentation standards.
• Knowledge of:
• Medical terminology
• Medical records management
• Medicare and Medicaid documentation requirements
• Patient confidentiality regulations

Physical & Work Environment

• Frequent walking between buildings and departments.
• Office and healthcare administrative environment.
• Position requires strong attention to detail and the ability to manage multiple tasks throughout the day.
