JOB DUTIES: This position works both independently and with other administrative personnel with a minimum amount of direct supervision. The incumbent researches and gathers data to prepare written reports; monitors and maintains records of property; provides property controls through assignment of inventory numbers, locations and disposal of all assigned state property; monitors acquisition, use, and disposal of all federal excess property; independently initiates audits of all administrative aspects of center operations; maintains records of various administrative functions; and interprets applicable policies and procedures. Ensures that all accountable property can be located, identified by marked property number, and that acquisition, disposal and transfer of property is properly documented; coordinates periodic and unscheduled physical inventories of accountable property verified proper documentation of property processed for transfer and disposal. Responsible for assigning and displaying all property numbers and tags with proper documentation of each item’s value, age and condition. Monitors all equipment and record keeping by performing audits, both announced and unannounced, checking for proper marking, records and location. Receives, inspects, and processes new equipment including verification inspection, entry in appropriate inventory databases, requesting fuel cards and vehicle tags. Issues new equipment including performing final overall inspection, notifying owning unit, and changing location and shop in database program. Audits purchases of uniform components and boots to ensure that policy and procedures are followed. Audits timber and recreation sales, permits and revenue reports for accuracy, proper recording and following of procedures. Ensures all vehicles are processed for auction to include all paperwork and photographs needed for auction of state and federal property. Serves as Withlacoochee Forestry Center’s records management liaison. Coordinates documentation and upkeep of inventory records, public records, upkeep of equipment and use. Ensures record destruction has been scheduled and present during process. Performs other related work as assigned.
