StaffBuffalo is partnering with a well-established, family-oriented service organization in the Buffalo-Niagara Falls area to hire a Service Coordinator, offering $20.00–$24.00 per hour. This is an excellent opportunity for someone who enjoys working at the center of a busy operation, communicating with customers and technicians, and making sure service calls are scheduled, tracked, and completed efficiently.

As the Service Coordinator, you'll serve as a key connection between customers, field technicians, and the internal operations team. You'll coordinate service calls, assign technicians, manage changing schedules, communicate updates to customers, and help ensure installations, repairs, and maintenance work move smoothly from request through completion. This role requires someone who can stay organized when priorities shift, communicate clearly, and take ownership of details without losing sight of the bigger picture.

This is a full-time, on-site position in the Buffalo-Niagara Falls area.

Key Responsibilities

• Schedule and coordinate service calls, technician assignments, installations, repairs, and preventative maintenance work.
• Communicate directly with customers to confirm service needs, provide scheduling updates, and follow up on completed work.
• Prioritize work orders and adjust technician schedules as customer needs and operational priorities change.
• Maintain accurate service records, job documentation, customer information, and status updates within internal systems.
• Collaborate closely with technicians and operations leadership to coordinate resources and keep service workflows moving efficiently.
• Handle incoming customer inquiries, assist with basic issue resolution, and support special projects and continuous service improvements.

Qualifications

• Previous experience in service coordination, dispatching, operations support, customer service, facilities support, or a related position preferred.
• Strong organizational and time-management skills with the ability to manage multiple priorities at once.
• Excellent phone, email, and interpersonal communication skills.
• Customer-focused approach with strong problem-solving abilities and professional follow-through.
• Comfortable working with scheduling software, CRM systems, and other office technology.
• Strong attention to detail and ability to maintain accurate service documentation.
• Experience within commercial service, mechanical equipment, facilities, HVAC, refrigeration, food equipment, or a similar environment is beneficial but not required.
• Reliable, adaptable, and comfortable working in a fast-paced, team-oriented environment.
