TURQUOISE PLACE MAINTENANCE ADMINISTRATIVE ASSISTANT

SUMMARY : Supports the activities of the maintenance department. Excellent customer service and communications skills, professional team player, able to multitask and balance many varied tasks and assignments, liaison with other departments, assists and coordinates with technicians, vendors, owners, and guests. 

ESSENTIAL FUNCTIONS :

•Answer calls in a professional and timely manner
•Assists dispatch monitoring open work orders and assure timely completion
•Interface with outside vendors, suppliers as necessary
•Pick up, sort and distribute mail File and retrieve documents, records and reports
•Maintain inventory of equipment and supplies
•Coordinate and maintain records for staff
•Support Maintenance Manager in assigned project based work
•Foster team spirit within the Maintenance / Service departments
•Assist in achieving departmental key performance indicators
•Interact with other departments to assure guests receive excellent customer service
•Effectively resolve quality issues with guests
•Follow up with owners, guests, and internal departments and vendors
•Makes recommendation to improve service and ensure more efficient operation
•Perform other duties, functions, or tasks as assigned by Maintenance Manager
•Assists Maintenance Manager with financial statements, budgets, etc.
•Assist Maintenance Manager in closing work orders
•Assists the Accounting department with questions regarding owners or vendor billing

QUALIFICATIONS

•GED or High School diploma, required
•Experience with homeowners association preferred
•A positive, enthusiastic individual with exceptionally strong communication skills (both verbal and written) and excellent customer service skills
•Able to always act professionally under pressure and effectively multitask
•Able to diffuse conflict and promote a harmonious environment for all owners, team members, guests, and vendor
•Strong compute skills, experience with Microsoft Office Suite (PowerPoint, Excel, Word) and willing to learn new software programs

PHYSICAL REQUIREMENTS

• Ability to work at a desk on a computer for majority of the shift
• Must be able to stand/walk as required
• Must be able to lift/move up to 20 lbs.
