Accounting & Finance Support Specialist

PRIMARY FUNCTION:

The Accounting and Finance Support Specialist provides operational and administrative support to the organization’s accounting and finance functions. This role supports the Chief Financial Officer and finance leadership by assisting with accounts payable, budgeting support, financial reporting, payroll coordination, and compliance with organizational policies and procedures. The position also supports financial tracking and reporting for grant-funded programs, ensuring accurate documentation and compliance in coordination with Club leadership. The position plays a critical role in ensuring financial accuracy, maintaining internal controls, and supporting efficient day-to-day financial operations across the AV Boys & Girls Clubs.

The ideal candidate has strong hands-on experience navigating core platforms like QuickBooks and ADP, a solid fundamental understanding of GAAP (Generally Accepted Accounting Principles), and the ability to maintain meticulous documentation for payroll, vendor files, and grant-funded program expenses. 

PURPOSE OF THE ROLE

• Strengthens financial transparency across Club programs
• Supports accurate financial reporting and compliance for grant-funded programs and restricted funds

KEY ROLES (ESSENTIAL JOB RESPONSIBILITIES)

1. Accounting & Financial Operations

• Assist with issuing checks, processing payments, and maintaining accurate accounts payable records
• Support monthly and year-end financial processes, including reconciliations and documentation
• Assist with preparing financial reports, summaries, and budget tracking documents
• Maintain organized, accurate, and audit-ready financial files and records
• Support audits and internal financial reviews as needed
• Assist with financial tracking, documentation, and reporting related to grant-funded programs, including expense verification and support for grant compliance reviews
• Ensure standard data entry practices and day-to-day transactions reflect foundational GAAP compliance and organizational internal controls. 

2. Budget & Reporting Support

• Assist finance leadership with budget development and monitoring
• Assist with tracking, verifying, and documenting expenditures tied directly to public/private grant-funded programs and restricted assets. 
• Support the preparation of grant-related financial reports and budget summaries in coordination with finance leadership and program staff
• Prepare routine financial and budget reports for leadership and program use

3. Payroll & Benefits Support

• Assist with payroll processing and verification through ADP
• Review payroll reports for accuracy, including hours worked, deductions, and pay rates
• Support employee payroll-related inquiries in coordination with HR and finance leadership
• Assist with payroll-related components of benefits administration, including vacation accruals and pay policies

4. Systems & Financial Software

• Utilize QuickBooks for accounting functions and financial reporting
• Access and support payroll systems (ADP) in accordance with internal controls
• Maintain confidentiality and security of all financial and employee information

5. Policy & Compliance Support

• Support the employee handbook as it relates to payroll, vacation, insurance, and compensation policies
• Assist with compliance related to organizational, district, state, and BGCA financial requirements
• Help track policy updates and ensure financial documentation remains current and accessible

6. Cross-Department Collaboration

• Collaborate with HR, operations, and program leadership as needed
• Provide administrative and reporting support to improve financial workflows
• Assist with special projects and process improvements within the finance department

QUALIFICATIONS

1. Expectations

• Minimum 2–4 years of experience in accounting, finance, payroll, or administrative support preferred
• Experience supporting payroll and financial reporting processes
• Ability to handle confidential information with discretion
• Strong attention to detail and organizational skills
• Ability to work extended hours during payroll cycles, audits, or fiscal year-end as needed

2. Education / Skills

• Associate’s or Bachelor’s degree in Accounting, Finance, Business Administration, or a closely related field is a plus; an equivalent blend of professional certifications and real-world experience will be considered
• Familiarity with QuickBooks required
• Experience with ADP or similar payroll systems preferred
• Strong written and verbal communication skills
• Ability to work collaboratively in a fast-paced, deadline-driven environment

• Office-based or hybrid, depending on organizational needs

• Occasional extended hours during payroll, audits, or fiscal close
• Ability to manage multiple priorities simultaneously
