As a Family Medicine office, we provide outstanding primary care and preventive health care to patients of all ages, from newborns to seniors. We are seeking a full-time, 40-hour clinic/practice assistant with a standard schedule of 7:15 AM to 3:45 PM; however, flexibility is required to adjust hours as needed to support team coverage, with shifts occasionally extending as late as 5:30 PM. While responsibilities include patient check-in/out and phone management, the role also involves a significant amount of other back and front office administrative support. The team consists of 4 front desk staff, 7 providers, 7 medical assistants, and 45 nurses, fostering a close-knit, collaborative, team-oriented environment. The ideal candidate brings strong customer service skills and comfort with navigating computer systems. Candidates with experience in customer-facing roles, particularly within the service industry, are encouraged to apply.

Essential Functions

• Perform routine administrative and clerical duties relating to a clinical service or physician practice office.
• Make patient appointments and maintain appointment records.
• Greet and assist patients.
• Answer telephones, assist callers with routine inquiries, and schedule appointments.
• File materials in patient folders, and print appointment schedules.
• Process patient billing forms and scan documents to patient medical record/LMR.
• Call for patient medical records and laboratory test results.
• Open and distribute mail or faxes.
• Type forms, records, schedules, memos, etc., as directed.
• May be required to accept co-payments.
• Handles, screens and/or takes messages related to prior authorizations, referrals, and verify registrations for accuracy.
• May monitor patients in waiting room and responds to any needs for information.
• Assists in patient flow processes.

High School Diploma or Equivalent required

Experience
healthcare office experience 0-1 year required

Strongly Preferred:

• Healthcare admin experience
• EPIC experience
• Outpatient / Ambulatory experience
