Job Title: Accounting Associate (Panama City Campus) Location: Panama City, FL Regular/Temporary: Regular Full/Part Time: Full-Time Job ID: 62792 Responsibilities Responsible for audit and payment of vendor invoices, ensuring proper application of credit memorandum and initiation of accounting entries related to vendor payments, including maximizing available discounts. Serve as procurement card (P‑card) proxy for all Panama City Campus cardholders and code weekly transactions for departmental purchasing cards. Pre‑pay auditor for all Panama City Campus travel. Review travel‑related documents and receipts; work with departments to correct issues prior to final approval. Assist vendors and departments with invoice and travel discrepancies, questions, and problems. Complete daily deposits from fee intake, including supervisor close of two cashiers, prepare armored car deposits, and produce associated documentation for PC record retention. Open cash vault each morning and process transaction voids for cashiers. Perform other duties as assigned by supervisor. Qualifications High school diploma or equivalency with four years of related experience, or an equivalent combination of post‑high‑school education and experience. Valid State of Florida or Georgia driver’s license (or ability to obtain one prior to hire). Preferred Qualifications Ability to establish effective working relationships with various departments. Strong customer service skills. Problem‑solving skills, including research of budgets and balances for payment processing. Familiarity with accounts payable and GAAP. High attention to detail to ensure accurate and timely processing of invoices, P‑cards, and travel. Ability to prioritize tasks and meet deadlines, particularly under time‑sensitive payment schedules. Training and Development Structured, hands‑on training during the first two months covering university policies and procedures. Guided training sessions on university departments, budgets, and accounts. Shadow experienced staff to learn daily workflows and deadlines. Gain an understanding of department responsibilities and requirements. Progressively take on more independent assignments with ongoing support and feedback. Establish strong working relationships with team members and campus partners. By the end of the first 60 days, the Accounting Associate is expected to be working independently, familiar with campus departments, budgets, policies, and procedures, and contributing independently while continuing to develop advanced skills. On‑campus schedule: Monday–Friday, 8:15 a.m.–5:15 p.m. Position starts summer 2026.
