Client Service Coordinator - Associate

Location: 1284 Main St., Unit A1, Osterville, MA 02655

Assignment Type: Temporary

Assignment Length: 12 weeks

Schedule: 30 hours per week

Tentative Pay Rate: $22.00 per hour

Position Overview

We are seeking a Client Service Coordinator - Associate to provide front desk, administrative, and operational support within a branch office. This position will support daily office functions, advisors, branch meetings and events, and ongoing operational projects.

Key Responsibilities

• Cover incoming phone calls and front desk operations.
• Handle incoming and outgoing mail and maintain the branch check log.
• Order office supplies and stationery.
• Assist with licensing-related administrative tasks and expense reports.
• Provide basic administrative support to advisors as needed.
• Support the Interim Operations Leader with branch event planning and execution.
• Contribute to OAR-related projects and initiatives.
• Coordinate branch meetings, including confirming wholesalers, ordering lunch, and tracking attendance.
• Assist with advertising-related administrative activities.
• Coordinate and distribute invitations for regional webinars to the branch.
• Provide additional branch operational and administrative support as needed.

Qualifications / Requirements

• Previous administrative, office support, receptionist, or customer service experience preferred.
• Strong organizational skills with the ability to manage multiple tasks and priorities.
• Professional communication and customer service skills, both in person and over the phone .
• Comfortable supporting a professional, client-facing office environment.
• Proficiency with Microsoft Office , including Outlook, Word, and Excel.
• Strong attention to detail when handling mail, records, expense reports, and other administrative tasks.
• Ability to work independently while effectively supporting advisors and branch leadership.
• Dependable, professional, and able to maintain discretion when handling sensitive information.
• Ability to support 30 hours per week for the full 12-week assignment .
