Shipping And Receiving AssistantThe Shipping and Receiving Assistant position is responsible for the delivery of mail, packages and outgoing postal deliveries.Responsibilities:The position receives, inspects, and distributes incoming mail in a timely manner, finding the most appropriate means of shipping outgoing freight and preparing bulk mailings for shipping. The position cross-trains and provides coverage for the Shipping and Receiving, Campus Services and the Grounds Maintenance departments when necessary. The position reports to the Campus Services Crew Leader.Essential DutiesOpens the mail center, checks voice mails, turns on the postage machine, runs reports, clears information and changes the transaction log date.Runs accounting reports and clears posted data monthly.Drives as needed to the main post office and picks up mail and packages loading them into a College vehicle for delivery to the College Mail room for sorting.Occasionally operates a forklift to move material and inventory.Keeps a record report of costs and department codes of any return prepaid envelopes and postage due items in the morning mail.Handles phone requests for copy paper, toner cartridges, and mailing supplies.Operates mail center including sorting and delivering incoming and outgoing mail in a timely manner.Receives, inspects, and delivers freight and mail items on campus in a timely manner. Takes appropriate action when incoming freight is damaged.Keeps up-to-date on the freight and mail regulations in order to ensure compliance as well as best value. Prepares bulk mailings in a timely and cost-effective manner. Uses and maintains the bulk mailing equipment. Uses bulk mailing software program to organize outgoing bulk mailings and minimize the number of returned mail items.Loads all fixed assets into the College system and performs updates to insure accuracy.Cross trains and performs duties with-in the Shipping & Receiving, Campus Services and Grounds Maintenance departments as time permits and to cover during times of staff, openings, vacations and illness.Carries and responds to College provided cell phone.Carries and utilizes a two-way radio while working.Reports concerns, hazardous conditions, and injuries/ accidents to supervisor or designee.QualificationsMinimum Qualifications:High School Diploma or an equivalentKnowledge and experience with office and mailing equipment including computer, printer, scanner, fax machine, photocopier, and mailing machineExperience with word processing, mailing, and other related software applicationsAbility to perform physical labor for full shift (8 hours), with or without a reasonable accommodation and occasionally perform physical labor for more than a full shift (over 8 hours), with or without a reasonable accommodationAbility to work with accuracy and attention to detail and maintain a professional, effective and collegial working relationship with co-workers, the public and all campus constituent groups communicating effectively both verbally and in writingAbility to drive a College mail delivery vehicle and forklift in a safe manner during all seasons including winter weatherAbility to make informed decisions on the best shipping methodsAbility to follow relevant policies, procedures, instructions and safety standards; work safely with equipment, vehicles, and machineryDesired Qualifications:At least one year of shipping and receiving / mail experienceKnowledge and experience with freight and mail regulations; state and federal regulations; USPS and other freight carriersExperience with event set-up and moving furniture and materialsExperience operating forkliftsLicenses/Certificates:Valid motor vehicle license at the time of hire and must obtain a Wyoming driver's license within 30 days of hire. Must maintain insurability under the College's insurance plan.Forklift operator certification, or ability to obtain within 30 days of hireSupplemental InformationPhysical Demands:While performing the duties of this job, the employee frequently is required to use hands to finger, handle, or feel; reach with hands and arms; and talk or hear. The employee is required to stand, walk, sit and carry mail items. The employee must regularly lift and/or move up to 50 pounds and occasionally lift and/or move up to 100 pounds, with or without a reasonable accommodation. Specific vision abilities required by this job include; those needed to operate College vehicles and equipment, see close up i.e. mail and package addresses, and the ability to adjust focus both near and far.Work Environment:While performing the duties of this job, the employee is regularly exposed to outside weather conditions and uses a vehicle and occasionally works evenings and on weekends. While performing the main duties of this position, the employee regularly works indoors and outdoors delivering mail and freight throughout campus and works near, and with computers and computer monitors. While performing other duties as assigned i.e. with the Campus Services and Ground Maintenance departments, the employee will be exposed to moderate to high noise levels requiring hearing protection and seasonal outdoor conditions from very hot to very cold. May be called back after hours, on weekends, and holidays for emergencies, special assignments, snow removal and/or any other activity which requires the position's presence on campus and/or at the assigned work station.
