Automotive Service Advisor / Warranty Administrator

JTM Auto Repair is looking for an experienced and organized

Automotive Service Advisor / Warranty Administrator to join our growing team.

We are a busy automotive repair facility working with retail customers, fleet accounts, and multiple automotive warranty companies. We are looking for someone who understands automotive repair and can take ownership of the estimating, warranty authorization, parts-ordering process, Inventory while keeping repairs moving efficiently through the shop, This includes being a leader and managing the team of mechanics at the shop. This is what once was a 1 person team and now is currently an 8 person operation that works / strives to become super efficient so that we can represent to ourselves and the JTM customers with our best work because the ultimate goal is that we provide the best experience for our customers so that we are able to provide for our families and our selves.

Currently we are building a new Auto Repair Center in Oak forest , IL so that it can becomes our headquarters then we will move to there so that it can become our main / only location. The Oak forest JTM location should be completely built and in business April 2027. Meanwhile we rent a portion of space inside of an existing auto repair shop. We need a employee / leader that can be a part of our team permanently for more years to come. Our current employees have been with us for several years 

Primary Responsibilities

• Create accurate repair estimates based on technician findings and inspections
• Communicate with warranty companies and fleet accounts to obtain repair authorizations
• Handle warranty phone calls, estimates, supplements, and approval follow-ups
• Order parts from AutoZone and other parts vendors
• Verify parts pricing, availability, and estimated delivery times
• Update and maintain repair orders throughout the repair process
• Communicate approvals and job status with technicians and management
• Follow up on pending warranty claims and authorizations
• Document authorization numbers, approved amounts, and declined items
• Keep up with emails in regards to warranty services
• Help keep vehicles moving through the shop without unnecessary delays

What We're Looking For

The ideal candidate has automotive repair knowledge and understands how to build an estimate from a technician's diagnosis.

Experience as an automotive service advisor, service writer, warranty administrator, or similar automotive position is strongly preferred.

You should be comfortable communicating professionally with warranty companies, technicians, parts suppliers, and customers.

Experience with automotive shop-management software such as (  Tekmetric ) is a plus, but we can train the right experienced candidate on our specific system.

We are looking for a mature, accountable professional who takes ownership of their responsibilities

A person that is an asset not a liability, One that is confident about his goals. We need a self-sufficient problem solver who brings solutions to the team and can be trusted to follow responsibilities through to completion.

We do not tolerate disrespect to clients or other teammates even in a joking matter or to the business.

Having communication / reporting skills is a must as JTM has a specific standard that needs to be followed or else termination of position will occur. For example anything verbal should be in notes of each repair order so that no information gets misplaced and so that everything is smooth according to system

Must be able to work under pressure while multi tasking without having negative energy also while reporting to Junior

Most Important Qualities Experience Level

We are especially looking for someone who is:

• Fast and accurate with automotive estimates
• Knowledgeable about automotive parts and repairs
• Comfortable dealing with warranty companies over the phone
• Organized and able to manage multiple repair orders at once
• Good at following up and getting approvals completed
• Comfortable ordering and tracking parts
• Able to communicate clearly with technicians & manager ( Junior )
• Dependable and able to work independently & efficiently with reminders
• Focused on keeping jobs moving through the shop
• Following systems at JTM is a MUST

This is a very important position within our operation. We are looking for someone who can become a strong part of our team and take ownership of the estimating, warranty, and parts process so our technicians can stay productive and our customers' vehicles can be completed as efficiently as possible.

Experience Level

Must have minimum 5 years of experience dealing with service advisor / writer in the auto repair shop. Having mechanical car diagnostics / repair experience is a plus so that you have a history of hands on experience
