Payroll Specialist

At Quiroga Law Office, PLLC, we help immigrants protect their ability to live, work, and thrive in the United States. Your primary responsibility will be managing accurate, timely biweekly payroll for a workforce based primarily in Washington State, with employees in other U.S. states. You’ll also coordinate payroll-related benefits and provide onboarding and administrative support. Responsibilities Process biweekly payroll in QuickBooks: Verify hours, earnings, deductions, and adjustments; issue garnishment payments, upload pay stubs on submission day, and distribute payroll reports. Manage payroll taxes : Prepare and reconcile payments and filings, coordinate with providers as applicable, resolve tax notices, and establish employer tax accounts and employee tax settings in new jurisdictions. Maintain payroll accuracy : Update employee records, process changes and separations, investigate discrepancies, and support audits, W-2 preparation, and year-end reconciliation. Complete payroll accounting : Record health insurance and reimbursement journal entries, reconcile retirement contributions, and submit biweekly American Funds reports. Coordinate benefits: Track health insurance and 401(k) eligibility, support enrollment and changes, and work with the healthcare broker to resolve questions. Support onboarding: Coordinate new-hire emails, forms, background checks, onboarding records, and QuickBooks invitations and payroll setup. Provide administrative support: Requirements 3+ years of U.S. payroll experience, including independently managing complete payroll cycles. Multistate payroll experience and strong payroll tax knowledge, particularly in Washington State, with the ability to research and apply federal, state, and local requirements nationwide. Experience establishing employer payroll tax accounts and setting up employees in new jurisdictions. QuickBooks payroll and Microsoft Excel proficiency, including journal entries, reporting, and reconciliations. Familiarity with employee benefits and retirement plan reporting. Strong attention to detail, confidentiality, clear communication, and deadline management. Preferred Qualifications Experience with American Funds and employee onboarding. Fundamental Payroll Certification (FPC) or Certified Payroll Professional (CPP) credential. #J-18808-Ljbffr
