Manager, Campus Distribution & Asset Control (Contingent II)

Manager, Campus Distribution & Asset Control (Contingent II) – reporting to the Associate Director of Business and Auxiliary Services. This role oversees Asset Management, Central Receiving, and Mail Services. Responsibilities Asset Management Develop, implement, and maintain policies, systems, and accounting methods for recording property and equipment acquisitions, transfers, and disposals, ensuring data integrity across Asset Management. Prepare building and department physical inventory reports, year‑end activity reports, and other special reports as needed. Identify, tag, and record new capital and sensitive property acquisitions; collect information from purchase orders and inspect shipments for compliance. Update records for corrections and disposals through departmental requests. Plan, coordinate, and supervise the physical inventory/audit cycle, including schedule development, departmental coordination, inventory execution, and reconciliation of discrepancies. Assist in the development and maintenance of comprehensive Asset Management policies, procedures, and internal manuals. Ensure proper maintenance and updating of the department’s asset‑management software. Prepare specialized reports on capital and non‑capital assets for internal and external stakeholders. Act as the initial point of contact for departmental asset‑related activities and transactions. Central Receiving Manage all receiving, storage, and distribution functions for the central facility. Inspect and verify incoming shipments against delivery documents and purchase order specifications. Process and categorize received packages (student, PO, general) in a timely manner. Coordinate daily delivery tasks for campus‑wide distribution, adjusting to varying inbound volumes. Maintain efficient warehouse organization, including labeling, storage, and safety pathways (e.g., 5S principles). Mailroom Services Oversee all incoming and outgoing mail services, including daily USPS pickups and deliveries. Sort and distribute mail and parcels to departments. Process monthly chargebacks for departmental mail services to ensure cost recovery. Document daily package receipts for students and residence facilities. Handle special mailings or urgent internal deliveries promptly. Supervision and Leadership Supervise, train, and develop personnel across Asset Management, Central Receiving, and Mailroom Services. Lead warehouse staff, enforce SOPs and safety standards. Monitor KPIs and implement process improvements. Plan schedules, assign tasks, and review staff performance. Facilitate daily team stand‑up meetings covering safety, priorities, volume, and task assignments. Manage expenses and prepare purchase requisitions for operational needs. Foster a collaborative, efficient work environment and address bottlenecks proactively. Ensure compliance with federal, state, and university safety policies. Perform other duties as assigned. Qualifications Bachelor’s degree in a related field or equivalent combination of education and 5 years of related experience. Minimum of two (2) years of management or supervisory experience in asset management, warehouse operations, or mailroom services, preferably in higher education or the public sector. Extensive experience in property inventory methods, procedures, and best practices. Strong knowledge of warehouse KPIs, safety standards, and WMS platforms. General knowledge of PeopleSoft Asset Management software and Workday. Demonstrated ability to design, execute, and maintain accurate property and logistics records. Experience managing mail services operations, including chargeback systems. Exceptional leadership, supervision, coaching, and team development skills. Excellent communication skills, both written and verbal. Strong decision‑making, planning, organizational, and problem‑solving skills. Ability to work independently, prioritize tasks, and manage multiple functions simultaneously. Commitment to safety protocols in a warehouse and mail services environment.
