Building Assistant

This position assists with the oversight of daily operations to ensure residence hall facilities are safe and functional. This position reports to the Building Assistant Supervisor. Working closely with Housing Facilities and Residence Education, this position is responsible for providing excellent customer service, addressing resident concerns, and communicating Housing and Residence Life policies and procedures.

The role coordinates facility maintenance, manages administrative tasks, and ensures compliance with safety protocols. It involves working with department staff and campus partners to address fire alarms, elevator issues, and power or water outages, while supporting special projects and other assigned duties. The Building Assistant complex assignment is subject to change to meet the needs of the department.

Responsibilities

• Deliver exceptional customer service to the residents by responding to inquiries, providing relevant resources, assisting with lockouts, and following up on work orders.
• Collaborate and work with the residence hall complex(es) professional staff and other team members to address and manage daily administrative tasks and facility-related needs.
• Coordinate the sorting, documentation, and distribution of incoming mail and packages to the residents.
• Oversee key management processes, including issuing and tracking keys, and applying charges to student accounts for lost keys, lockouts, and damages, following guidelines as directed.
• Conduct daily inspections of the interior and exterior areas of the complex, including common spaces such as lounges, study rooms, laundry rooms, restrooms, and stairwells. Identify and report safety hazards, and submit work orders for repairs, such as broken lights or malfunctioning door locks, trash accumulation, pest issues, noxious odors, maintenance and custodial issues.
• Enter work orders into TMA and StarRez systems and inform appropriate staff of pertinent maintenance concerns daily.
• Utilize computer software and office equipment to perform administrative tasks and support daily operations.
• Other duties as assigned.

Primary Functions:

• Notify residents of routine building issues, such as fire alarm testing, water and electrical shutdowns, elevator repairs, energy conservation initiatives, waste and recycling efforts, emergency preparedness, safety guidelines, etc., as directed.
• Assist in the coordination and execution of residence hall move-in and move-out processes.
• Conduct inspections of vacant rooms to identify damage and ensure the room is empty. Apply appropriate damage charges as directed.
• Escort vendors and contractors (e.g. pest control and filter changes) on trouble calls or scheduled work.
• Inspect fire equipment as directed.
• Communicate with appropriate staff regarding incidents and respond to situations as directed.
• Assist with the creation, maintenance, and monitoring of educational bulletin boards, newsletters, and other media as directed.
• Inspect empty apartments regularly to check for water leaks, damages and ensure dehumidifiers are emptied.
• Provide assistance and support with various programs, Blue and Gold, campus tours, orientations, camps, conferences, etc.
• Display professionalism by adhering to the University of Tennessee policies, procedures and departmental expectations.
• Promptly alert appropriate staff of emergency situations
• Other duties as assigned.

Qualifications

Competencies/Qualifications

• Working knowledge of office environment, procedures, phone etiquette, typing, sorting, and filing.
• Experience with Microsoft Office and the ability to learn new software.
• Interested and able to work with a diverse population of university students.
• Ability to function under pressure and constant interruptions.
• Excellent verbal and written communication skills.
• Excellent customer service skills.
• Ability to exercise good judgment, discretion and uphold confidentiality

Preferred knowledge, skills and abilities

• Three years of experience providing administrative support in an office setting.
• Prior work experience in college or university setting.
• Strong critical thinking skills

Minimum Qualifications: High school diploma. 1 year of work in an office environment.

Preferred Qualifications: Bachelor's degree. 3 years of clerical and office experience is preferred. Prior experience working at a college campus or in a university setting.
