Position Title: Dental Clinic Operations Manager

Department: Operations

Classification: Exempt

Reports To: Regional Administrator

Position Overview:

The Dental Clinic Operations Manager is responsible for managing all operational aspects within the operations of the clinic to ensure that all administrative tasks are completed in an accurate and timely manner. Coordinates effective clerical and clinical support to keep the clinic operating efficiently.

What You Will Do:

• Perform all duties consistent with Patient Centered Medical Home (PCMH) and Meaningful Use (MU) Team guidelines, assignment, and training; evidence-based guidelines in clinical practice and population management activities utilizing certified EHR systems.
• Cross Training and Utilization, as it applies to the employee's job description and ECFH Code of Ethics Policy.
• Perform other related assigned duties and responsibilities, in accordance with the employee's job description and ECFH Code of Ethics Policy.
• Act as a liaison between the clinic staff, Dental assistants, Dental providers, and administration/finance.
• Act as a liaison between dental and other departments, such as finance, human resources, information technology and medical offices, to support integrated care delivery.
• Coordinate and assist Regional Administrator with regular staff meetings to discuss progress and new developments and documenting; ensure effective communication among all staff, sites, and the public.
• Conduct regular meetings (monthly) with dental staff to review progress toward departmental goals and address operational or financial challenges.
• Provide input to Regional Administrator regarding corrective actions and evaluating staff against the goals and objectives of an individual staff member.
• Investigating complaints, interpreting, and explaining rules, regulations, and monitoring and spotting irregularities.
• Employee must gather, analyze, and process information for accurate and responsible decision-making.
• Participate in quality improvement initiatives and is continually evaluating performance indicators outlined in organizational and clinical plans for El Centro Family Health.
• Participate in organizational initiatives.
• Coordinate and assist the Regional Administrator in recruitment of prospective employees.
• Acknowledge, adhere to, and implement overall organizational dental and medical policies and operating procedures of El Centro Family Health.
• Adheres to customer service policy, contributes to team effort, and participates in continuing education or seminars related to job responsibilities including brown bag training, etc.
• Ensure confidentiality of personal data regarding individual patients and the families, and/or sensitive company financial data.
• Ensure the cleanliness and safety of the facility and equipment in use by employees and the public.
• Ensure that the facility meets and maintains licensure requirements to include, but not limited to:
• Health and safety, fire drills, and Americans with Disabilities Act (ADA) compliance.
• Maintain professional and technical knowledge.
• Responsible for orienting and training new employees and providing assistance in instructing workers in the daily routines including compliance updates and quality improvement processes.
• Coordinate with other Dental Office Managers to maintain consistent standards across clinics.
• Plan for and ensure that required reports, documents, and timesheets, are accurate and submitted to the Regional Administrator and/or Administration in a timely fashion.
• Exhibit behavior and actions which create a high level of patient/customer relations.
• Manage staff according to job description and work schedule policy.
• Ensure completion of payroll, approves PTO to coincide with the clinic operations on a bi-weekly basis.
• Conduct annual performance appraisals for front office staff.
• Conduct 90-day performance appraisals for office staff.
• Complete the NM Medicaid PED Determiner certification within 90 days of employment.

Minimum Qualifications:

Education: High school diploma or GED equivalent

Experience : Two (2) years experience managing a health care, dental or business office

One (1) year of which must have been in a supervisory capacity. Or Education: AA or AS degree in Business or other closely related field. Degree can be used in lieu of Experience year for year.

Knowledge of:

1. Healthcare and/or dental operations in an FQHC or community health center setting
2. Patient-centered care
3. Cultural competency for underserved populations
4. Principles of personnel training, supervision, evaluation, and corrective action

Skills and Abilities :

• Requires ability to listen and evaluate component parts of communications, in order to reach accurate and objective conclusions.
• Requires attention to detail, ability to relate data elements, and ability to evaluate discrepancies in data and documents using defined sources of information.
• Requires ability to understand and evaluate theoretical concepts and translate them into clear directions and courses of action.
• Requires ability to explain procedures and processes, both orally and in written form.
• Communication must be correct, clear, and understandable.
• Requires ability to perform duties and responsibilities with dignity, calmness, accuracy, and confidentiality in all contacts with patients, staff, and other health professionals.
• Requires knowledge about dental office flow and billing procedures.
• Requires excellent oral, written, and interpersonal communication skills.
• Requires Intermediate knowledge/expertise with PC hardware and software Microsoft365 Suite (Word, Excel, Teams).
• Ability to communicate and ability to work with staff around problems affecting provider scheduling, patient flow, and patient/public interaction.
• May be assigned to work at other sites as well as travel as needed.
• Must maintain valid driver's license and clearance for unrestricted automobile insurance coverage pursuant to NM State Law.

Preferred Qualifications:

• Perform all duties consistent with Patient Centered Medical Home (PCMH) Team guidelines, assignment, and training; utilize evidence-based guidelines in clinical practice and population management activities.
• Responsible for maintaining the flow of communication from patient to provider to ensure smooth patient flow and scheduling. Implements and monitors quality improvement initiatives focused on operational processes, such as patient flow, appointment scheduling, and billing accuracy.
• Contributes towards operational success of the organization by ensuring providers are appropriately scheduled to ensure effectiveness of the workplace and dental clinic operations.
