Assistant, VIP

To help support our future growth as an agency, we are looking for an Assistant, VIP & Influence + Logistics to join our team based in our LA office. The Assistant, VIP & Influence + Logistics plays a dual role supporting both talent relations and showroom logistics. This position is responsible for managing sample trafficking, supporting VIP and influencer initiatives, and ensuring seamless showroom operations. The ideal candidate is highly organized, detail-oriented, and thrives in a fast‑paced, client‑facing environment. Please note this position is required to be onsite, 5 days a week. Sample & Showroom Management Oversee day‑to‑day showroom operations, ensuring it is impeccably maintained, organized, and fully stocked. Manage all sample trafficking, including send‑outs, returns, and internal transfers across Karla Otto offices. Create and maintain sample collections in Fashion GPS. Process inbound and outbound shipments, verifying accuracy of all documentation. Liaise with third‑party logistics providers (FedEx, DHL, UPS) to track shipments and resolve issues. Coordinate sample imports/exports between clients, stylists, media, and retailers. VIP & Influencer Support Support VIP/influencer list curation, outreach, and relationship management across talent, stylists, and publicists. Maintain and update talent databases (contacts, profiles, social metrics). Execute strategic seeding initiatives, including outreach, gifting logistics, and inventory tracking. Coordinate all seeding send‑outs, from packaging to delivery. Assist with guest list development and manage invitations/RSVPs via email and Fashion GPS. Coordinate talent logistics (glam, travel, transportation) for events and activations. Prepare and distribute face sheets, briefing materials, and client communications. Provide on‑site event support (guest check‑in, talent management, brand introductions). Support client servicing through meeting prep, recaps, reporting, budget tracking, and invoicing coordination. Deliver timely updates on seeding, outreach, and VIP initiatives to internal teams and clients. Key Attributes & Qualifications Bachelor’s degree in PR, communications, marketing, or related field. Experience in luxury fashion, PR, or showroom environments preferred. Highly organized with strong attention to detail and accuracy. Ability to multitask and perform under pressure in a fast‑paced environment. Strong written and verbal communication skills. Proactive, resourceful, and solutions‑oriented mindset. Professional, discreet, and client‑facing demeanour. Strong work ethic with willingness to go above and beyond. Familiarity with Outlook, Excel, and PowerPoint; Fashion GPS experience a plus. Familiarity with shipping/logistics (FedEx, DHL, UPS) preferred.
