Office AssistantThe Office Assistant provides foundational administrative and clerical support to National Service Officers and office leadership. This role focuses on routine office operations, customer service, and accurate data and records management in a fast-paced service environment. Work is performed under direct supervision.Essential Functions:Provide front desk and reception support, including greeting visitors and answering callsRespond to general veteran inquiries and route complex matters appropriatelyPrepare basic correspondence, reports, and formsMaintain and organize physical and electronic filesOpen, sort, and distribute incoming mailSchedule appointments and maintain calendars as directedProcess membership payments and routine transactionsOperate standard office equipment (copiers, scanners, fax machines)Support National Service Officers with administrative tasks as assignedPerform other duties as directed by supervisorEssential Skills and Experience:High school diploma or equivalent0–7 years of administrative or clerical experienceBasic proficiency in Microsoft Office (Word, Outlook, Excel)Strong communication and customer service skillsAbility to manage multiple tasks with attention to detailAbility to maintain confidentialityGeneral knowledge of legal and/or medical terminology preferredPhysical Demands and Work Environment:The physical demands and work environment characteristics described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.Physical Demands: Job requires sitting up to eight hours a day and standing up to two to four hours a day. Body movement primarily in hand and arm functions associated with normal office activities. Hand and eye coordination, and hand dexterity is required for handwriting and keyboarding over prolonged periods of time. Requires occasional lifting and/or carrying of no more than 25 pounds, and bending, squatting, pushing and pulling.Work Environment: The noise level in the work environment is usually minimal.
