Customer Order Management Specialist

This role manages the end-to-end order process for machine tool customers in the USMCA region. You will work closely with customers, regional sales managers, and internal teams to ensure purchase orders are reviewed, processed, and delivered accurately and on time. Responsibilities Manage customer orders from purchase order receipt through delivery and invoicing. Review orders for commercial terms, customer eligibility, financing documents, trade-ins, and other required approvals. Coordinate with Sales and Product Management to assign the correct machine and confirm configuration and delivery timing. Work with internal teams and customers to collect documents, confirm details, and keep orders moving smoothly. Negotiate delivery dates with customers alongside logistics, installation, and other stakeholders. Create and maintain project folders in Smartsheet for complex orders. Review contracts against quotes, pricing, purchase orders, and commercial terms for accuracy. Support TRUMPF-financed transactions by coordinating documentation with Finance and third parties. Enter sales orders, sub-orders, credits, debits, and return orders in SAP. Complete UCC and PPSA filings as needed. Calculate sales commissions and customer discounts tied to promotions. Communicate order status and shipping updates to customers and the sales team. Help drive cross-functional coordination and follow defined processes and deadlines. Qualifications 2+ years of experience in customer service, contracts, credit, or finance. Experience with contract processing, purchasing, or order entry in a manufacturing environment preferred. Proficiency in SAP and Microsoft Office 365, including Excel. Strong attention to detail, organization, and sound judgment. Ability to manage multiple priorities in a fast-paced, team-oriented environment. Strong communication skills.
