Administrative Secretary – Department/Program Glendale Elementary School District Purpose Statement The job of Administrative Secretary – Department/Program is to provide administrative and secretarial support to assigned Administrator; ensure compliance of Department records with financial, legal and administrative requirements; and monitor assigned projects and/or program components. Essential Functions Compile data from multiple sources to comply with financial, legal and administrative requirements. Coordinate a variety of activities and programs to ensure availability of facilities, equipment and delivery of services in conformance with guidelines. Evaluate situations and events involving staff, students, parents and the public to take appropriate action or direct to appropriate personnel. Maintain documents, files and records for up‑to‑date reference and audit trail. Monitor district activities and program components to coordinate activities and ensure compliance with policies. Prepare reports, documents and correspondence to document activities, provide reference or convey information. Research topics to provide information and make recommendations in administrative areas. Respond to inquiries from staff, parents, students, public agencies to provide information and facilitate communication. Schedule events to comply with district, state and federal policies. Support assigned Administrator with administrative functions. Other Functions Attend meetings as assigned to gather or convey required information. Perform related duties to ensure efficient and effective functioning of the work unit. Job Requirements: Minimum Qualifications Skills, Knowledge and Abilities SKILLS: Perform multiple tasks, upgrade skills as required, operate office equipment with pertinent software applications, plan and manage projects, prepare and maintain accurate records. KNOWLEDGE: Basic math, technical information, document composition, group facilitation, practical problem solving; knowledge of business telephone etiquette, office machines, grammar, punctuation, office application software. ABILITY: Schedule activities, gather, collate and classify data; work independently with diverse individuals and data types; flexibility; moderate problem solving; communicate with diverse groups; maintain confidentiality; meet deadlines; set priorities; work in a team. Responsibility Work under limited supervision using standardized practices; lead, guide, or coordinate others; monitor budget expenditures; utilize resources from other work units; continually impact organization’s services. Work Environment Physical demands include occasional lifting, carrying, pushing, pulling, stooping, kneeling, crouching, crawling and fine finger dexterity. Approximately 70% sitting, 10% walking, 20% standing in a clean, healthy environment. Experience Job‑related experience with increasing levels of responsibility is desired. Education High school diploma or equivalent. Equivalency None stated. Required Testing and Clearances Pre‑employment proficiency test. IVP Fingerprint Clearance Card.
