Program Coordinator

Job Summary The Programs Coordinator is responsible for maintaining and facilitating support of departmental day-to-day community relations.Provide exceptional customer service and support to Partner Agencies and internal customers.Maintains professional business relations with staff and outside contacts. Communicate with management of community relations activities. In collaboration with the Senior Director of Programs support the implementation and management of community and partner agency programs. Duties/Responsibilities Serve as a primary point of contact by answering all incoming phones in a professional, courteous, and timely manner. Assist clients by providing accurate information about food assistance programs, distribution schedules, and eligibility requirements. Assist clients in completing TEFAP (The Emergency Food Assistance Program) applications, ensuring forms are accurate, complete, and submitted in accordance with program guidelines. Facilitating departmental planning, documenting, and supporting facilitation efforts, and managing file organization and retention as needed. Update and maintain partner agency membership, eligibility, and compliance documentation; schedule compliance visits for 100+ agencies. Manage and facilitate multiple tasks/projects simultaneously. Provide guidance and technical assistance to new, existing, and prospective member agencies. Coordinate virtual and in-person training and orientations for agencies. Provide support for coordination of various events, food distributions, TEFAP and CSFP recertifications, and other community events. Facilitate communications between community partners and SPFB, as needed. Assist team in identifying potential community resources for partner agencies. Provide support with departmental team and community partners to collect and report client data monthly. Document and develop community partner data, provide written reports and letters. Assist and maintain professional business relations with staff and outside agencies. Perform other duties as assigned. Qualifications 3 to 5 years’ experience in administrative support, and/or program management. Non-profit or Social Services experience (preferred). Bilingual (English/Spanish preferred) to effectively assist a diverse client population. Travel Requirements Up to 25% of the time is travel Physical Demands Most functions are performed while seating at a desk or standing up Individual will need to stand for longer periods.
