Scientific Engagement Specialist II

One Federal Solution is seeking aScientific Engagement Specialist IIto support the planning, coordination, and execution of conferences, meetings, executive events, and other scientific engagement activities. The Scientific Engagement Specialist II will provide comprehensive event planning and logistical support while ensuring compliance with applicable Department policies, procedures, security requirements, and established event timelines. Key Responsibilities Planning & Policy Adherence: Assist the Government Lead with event planning and site evaluations in strict accordance with all applicable Department policies and procedures. Logistics & Setup: Manage event logistics (vendors, travel, and quotes) and ensure all physical and IT/AV room configurations are fully tested and completed in advance. Execution & Hospitality: Manage day-of event execution, ensuring all materials, hospitality services, and room setups are completely finalized prior to guest arrival. Executive & VIP Support: Provide comprehensive support for executive events, managing VIP logistics, security access, and coordination with the Protocol Officer. Reporting & Documentation: Process all conference approval packages and attendance reports in accordance with official guidance and maintain historical event archives. Staffing & Service Level Agreement: Maintain required on-site staffing, conduct daily check-ins, and meet all established response time metrics for communications and "pop-up" requests. IT & Security Compliance: Exclusively use approved government (.mil) networks and software for official business, ensuring zero data transfer to contractor or personal accounts. Deadlines & Tracking: Strictly adhere to all Government-established timelines and maintain a fully accessible central event calendar for all tasks and milestones. Required Qualifications Demonstrated competence in all aspects of meeting/event planning. Ability to effectively plan, manage, and execute conferences and events. Ability to effectively communicate both verbally and in writing. Thoroughly familiar and proficient with commercial software packages, including Microsoft Word, Excel, and PowerPoint. Desired Additional Qualifications It is highly desired that the Scientific Engagement Specialist II be a Certified Meeting Professional (CMP). Education & Experience Certified Meeting Professional (CMP) designation or Certified Government Meeting Professional (CGMP) designation and at least three (3) years of experience in meeting planning (or similar experience).
