Commercial/Public Works General Contractor is seeking a full-time Payroll Specialist with certified payroll experience. This job role will also include various administrative duties including but not limited to data entry, reconciling charge accounts, coding of invoices, researching and resolving discrepancies accurately and efficiently. The Payroll Specialist/Administrative Assistant will need to demonstrate the ability to work proactively and independently in a fast-paced office environment while being a team player.

Specific Functions:

· Payroll Processing: Calculate wages, overtime, bonuses, and piece-rate pay for hourly and salaried staff on a scheduled cycle.

· Tax & Deductions: Process federal, state, and local tax withholdings, benefit deductions, and involuntary garnishments or levies.

· Administrative Support: Maintain employee records, handle direct deposit applications, reconcile timecards, and resolve pay discrepancies.

· Compliance & Reporting: Prepare general ledger reconciliations, support year-end W-2/1099 filings, and assist with audits.

· Certified Payroll: Enter certified payroll reports into LCPtracker. Manage and track subcontractor reports for accurate and timely submissions.

· Manage accounts payable invoices accurately for processing in timely manner.

• Process subcontractor G702-G703 AIA billings
• Communicate with Project Manager’s, Subcontractors, and Vendors on AP-related issues and requests, researching and resolving issues with problem invoices, including recommending corrective action.
• Track, inquire, and follow up on Subcontractor/Subcontractor sub-tier & supplier releases.
• Cross train for payroll, certified payroll, and miscellaneous accounts payable functions.
• Vendor set up including COI, W9, Subcontractors.
• Assist in general accounting/administration.

· Manage and track state, county, city and other licenses renewals.

• Perform other duties as assigned.

• Strong written and oral communication skills with ability to create and/or edit written documentation.
• Must be a punctual, organized, perfectionist with great time management.
• Comfortable talking on the phone.
• Accuracy and attention to detail as well as an aptitude for numbers and quantitative skills.
• Outgoing, friendly personality with ability to work well with others in stressful situations.
• Highly Motivated self-starter & team player.
• Able to multi-task and prioritize work effectively.
• Strong analytical thinking and problem-solving skills
