Floor Ambassador I

Overview Maintain an extensive floor presence while acting as the point of contact providing high level hospitality and customer services to our client, client guests and vendors, greeting customers and visitors with a high degree of professionalism and courtesy. To also provide an integrated VIP experience—providing a unique mix of guest services, office services and an elevated workplace experience—focused on driving results. Responsibilities Service Excellence Office space is dynamic, and each floor occupant has unique needs. Ensure everyone has what they need. Own the floor—everything should be working well – if not, report to appropriate operations teams (facilities, maintenance, security, IT, etc.), and follow up to see that it is addressed. Ensure legal and business professionals have appropriate space, connectivity, and supplies to do their work. Ensure all systems are working effectively (printer network, cooling and heating, lights etc.) Manage all service requests (imaging, car service, mailing, printing, etc.) with closed loop approach. Ensure all visitors are greeted and provided with office services information and key general office information (where to print, office map, etc.). Anticipate needs and proactively seek opportunities to elevate the end-user experience. Core Functionality Utilize Canon devices, office center tools, workstations, and applications to complete service requests. Operate the advanced features of the print properties menu for Adobe Acrobat, Excel, Outlook, and Microsoft Word (hole punching, collating documents, etc.). Complete jobs to individual preference and ensure individual preferences are shared and updated regularly for continuity. Answer E‑mails and phone calls with the proper professionalism and etiquette that represents CBPS appropriately and encourages future interactions. Operate PS Ship in Outlook, to create domestic and foreign Fed Ex labels as well as create hyperlinks for sharing tracking numbers, pertinent info, etc. Create white labels for shipping and creating envelopes of various sizes with both sender and return addresses placed properly. Exercise time management, answering emails promptly and completing tasks within an appropriate time based on the workload. Bind documents in all the methods used at the office service center (Floor Ambassadors should have knowledge of how to bind, laminate or cut with the various methods for all requests). Manage the supply demand for your assigned floor: what are the major supplies used on the floor? How often are restocks needed? What specialty supplies are needed, and who needs them? Solve minor issues with hardware (paper jams and cleaning). Appropriately input all requests/task completions in accountability software. Events and Special Projects Support assigned floor as needed. Provide operational expertise and consultation – best practices to prepare for the event, where to route requests during the event, supplies needed, etc. The Approach Manages a high volume of work with efficiency – Utilizes office tools to create or manage a system for tracking accountability for all service requests. Juggle competing demands by prioritizing or delegating to available team members. Customer Service Ensures total customer satisfaction through understanding of customer expectations, proactive problem identification/resolution, and maximizing opportunities to build relationships. Work with facilities, catering and other vendors when needed. Strong communication skills, oral and written. Proven ability to remain calm under pressure, good work ethic, sound judgement with good problem‑solving abilities. Mail/Packages/Pouches Receive, sort, and deliver all incoming mail & packages to assigned floors and within established time frames. Log outgoing and incoming items as required and review for accuracy/completeness. Supplies/Copying/Administration Organize and distribute supplies to client employees as detailed in job requests. Verify and log orders upon delivery. Monitor inventory of supplies, stock paper and toner and keep Floor Ambassador offices and copy areas neat and organized. Handle items for distribution to a segment of or all of client employees, affiliates, dealers, etc. Estimate runtime on the small to medium photocopy jobs. Check all copies produced for quality and accuracy. Produce bound copies of work when requested. Deliver and pick up copy jobs. May provide minor maintenance of photocopy machine such as solving paper jams, placing service calls and routine cleanings. Prepare weekly production and volume reports in order to measure productivity and prepare billing charges. Provide other administrative services from inserting, copying and photocopying to faxing as needed. Set up and maintain visiting attorneys’ offices. Due to changing technology in office automation, will be required to learn new features and functionalities of copying machines, faxes, scanning, shipping equipment as introduced at the site. Train end users (the client) on new features and functionalities of copying machines, faxes, scanning, shipping equipment as introduced at the site. Qualifications High school Diploma or equivalent 0-1+ years’ experience working in a mailroom and/or professional office environment. Prior hospitality experience (managing office inventory, conference room set up, event assistance, etc.) Ability to provide a high level of exceptional customer serve to our clients and customers Strong attention to detail and a high level of initiative to fulfill business needs up to expectation Print, copy and binding experience is a plus Thorough knowledge of all metering, weighting, logging, and other shipping procedure Proficient computer skills (MS Office, etc.) Ability to perform complex functions of various equipment and systems (fax, scanner, metering, stamping, tracking systems), excellent customer service, professional attitude and appearance are a must. Physical Demands / Working Conditions / Mental Qualifications Requires regular twisting/turning/squatting/bending/reaching/lifting and prolonged periods of sitting, standing or walking. May regularly lift and carry up to 20 lbs. and move (push mail cart) over 50 lbs. May occasionally lift up to 50 lbs. May occasionally need to climb stairs.
