Corporate Communications Specialist

Position Summary This role supports senior leadership by planning and executing executive communications and enterprise-wide leadership events. Working closely with the Lead Communications Manager, the successful candidate will help prepare leaders for high-profile meetings, develop executive communication materials, and ensure consistent messaging across the organization. This position also supports governance processes, maintains editorial calendars, contributes to Corporate Communications initiatives, and assists with process improvements, including the implementation of AI-enabled communication tools. Key Responsibilities Develop executive communication materials, including agendas, presentations, talking points, briefing documents, and meeting logistics. Coordinate and support executive leadership meetings and enterprise-wide events. Manage project timelines, deliverables, and stakeholder coordination to ensure leadership teams are fully prepared. Ensure messaging is aligned with organizational strategy and remains consistent across communications and events. Support Corporate Communications by maintaining editorial calendars and coordinating messaging across multiple initiatives. Partner with Event Services, IT/AV, Security, and other internal teams to ensure seamless meeting and event execution. Maintain planning tools and content repositories (Airtable experience is not required; training will be provided). Assist with budget tracking, invoice processing, and expense reconciliation. Research, gather, and organize background information to support executive messaging and strategic communications. Support the testing and rollout of AI-enabled tools that improve communications and operational workflows. Provide onsite and virtual support during executive meetings and enterprise events as needed. Qualifications Bachelor's degree in Communications, Marketing, Business, or a related field. 3–5 years of experience in corporate communications, executive communications, project coordination, events, or corporate operations. Exceptional writing, editing, and proofreading skills with the ability to produce executive-level communications. Experience supporting executive meetings or large-scale corporate events. Strong organizational, project management, and time management skills. Comfortable learning new technologies and interested in AI-driven process improvements. Previous budgeting or administrative support experience is preferred. Preferred Qualifications Highly organized with exceptional attention to detail. Comfortable working with senior executives and cross-functional stakeholders. Strong written and verbal communication skills. Ability to manage multiple priorities in a fast-paced environment. Professional, discreet, and trusted with confidential information. Adaptable, collaborative, and service-oriented. Self-motivated with a continuous improvement mindset. Technical Skills Microsoft Office Suite (Teams, PowerPoint, Excel, Outlook) Willingness to learn Airtable (training provided) Interest in AI tools and workflow optimization What Makes This Role Unique This is not a traditional event planning position. While executive meetings and enterprise events are a significant part of the role, the primary focus is executive and strategic communications. The successful candidate will partner with a dedicated Event Services team, allowing them to focus on preparing executive communications, supporting leadership engagement, aligning organizational messaging, and ensuring consistent communication across the enterprise.
